Receptionist
General Description
The New Milton Receptionist (NMREC) is responsible for providing administrative and support functions to the Legal Teams at the Company’s New Milton office.
Hierarchy
Responsible to: The NMREC is responsible to the Practice Manager, Heppenstalls Solicitors Limited.
Aims and Goals
The primary aims of the NMREC are as follows:
- To ensure that the general administrative needs of the Company are met through the application of suitable systems, processes and procedures,
- To assist the Practice Manager in carrying out various administrative duties and functions.
General Duties
In order to meet the aims & goals detailed above, the NMREC shall:
General Office Administration
- Carry out effective and efficient reception duties, such as answering calls, diary management and hosting clients,
- Organise appointments and book meeting rooms as appropriate,
- Manage meeting rooms and ensuring a clean tidy environment stocked with necessary equipment, amenities and refreshments,
- Deal with general enquiries regarding the Company including marketing, sales, general enquiries and complaints and where necessary referring the same to appropriate persons within the business to process,
- Manage the strongroom: storing and recalling of deeds and documents and accurate recording of location,
- Assist with archiving: remote storage of files and documents, liaising with the storage company, accurate recording of location when recalled,
- Ensure that the New Milton office maintains adequate levels of office equipment and stationery,
- Process incoming and outgoing post,
- Take payments and comply with accounts rules.
