Position Overview
This is is a 1 year fixed term contract
Essential Duties & Responsibilities
- Support Environment Solutions team with moves/ changes to the office as and when required
- Support staff with RL booking system for desk booking in 50 NBS & Watford
- Order furniture when required from preferred supplier
- Monitor online meeting rooms bookings and support teams finding meeting space – all locations
- Support the Environment Solutions team and Finance processed by compiling invoices information, so that their treatment is made easier.
- Support with utilities coding of invoice where necessary
- Cover for Bank of America – T&E card & P card enquiries when Environment Solutions manager is on leave
- Liaise with your team and support the Environment Solutions department
- Covering 50 New Bond Street Office assistant when on holiday including all aspects
- Raise purchase orders for order placed
- Support Watford reception with incoming calls
- Have a good working relationship with employees
- Ensure a good filing system for all archived documents
- Update telephone lists/ handbook for reception use only
- Report any maintenance issues to the Environment Solutions team in a timely manner, monitor and chase up where required.
- Ensure the system telephone directory is up to date, notifying IT of any discrepancies
- Arrange bookings for couriers ensuring an order form is complete with approval
- Arranging DHL shipments and create airway bills, ensuring correct account is used for each department/ cost centres are used ensuring an order form is complete with approval
- Ensure outgoing mail is franked/ sent down to 50 NBS
- Ensure mail and deliveries are sorted, email in a timely matter so packages can be collected and post cupboard is free from clutter
- Ensure reception area is kept clean and free from clutter and the desk is kept tidy
- Working alongside the showroom team to ensure you have all appointments and contacts ahead of new markets
- Maintain a professional and smart appearance, bearing in mind the RL image
- Welcome visitors and help them wait in a pleasant way and announce them by name to the relevant team.
- Tour of the office – Fire tour for new starters
- Monitor food and condiments ensuring they are replenished in kitchen
- Order kitchen supplies as appropriate and monitor stock levels
- Order stationery as appropriate and monitor stock levels
- Answer calls in a timely and professional manner
Experience, Skills & Knowledge
- Excellent timekeeping
- Excellent telephone manner
- Excellent written and oral communication skills
- Excellent presentation ensuring RL image
- Passion for delivering 5 star customer services at all times
- Proficient in the use Microsoft outlook, word, excel & Ariba (desirable)
- 2 strategic cycles in a corporate receptionist or equivalent
- Luxury hotels of luxury Retail background desired but not essential
- Fluent in English and another foreign language is an advantage.
