Job description

An exciting role has arisen to join E.H. Dawson Solicitors, a lexcel accredited firm with very experienced Solicitor Advocates, Solicitors, and Legal Executives. The firm pride themselves on their work and employ their expertise and knowledge of the law gained over 25 years to achieve the best results for clients. E.H. This role will be crucial in providing administrative support to clients and legal professionals within the firm. This position involves a combination of organisational, communication, and clerical tasks to ensure the efficient operation of the legal office. The Secretary is responsible for managing office procedures, handling client interactions, and facilitating smooth communication within the firm.

Key Responsibilities & Tasks

  • To undertake receptionist and administrative duties within your working time.
  • To ensure the successful development of the firm in line with the business plan.
  • To participate in marketing activities on a firm-wide basis and representing the practice in networking meetings.
  • To promote equal opportunities policy.
  • To Implement client care and complaints procedure.
  • Comply with her duties as Receptionist/Administrative Assistant which include but is not limited to the following:
  • Answering calls and taking messages to pass on to staff members.
  • Photocopying and scanning documents.
  • Organising office meetings and meet-ups.
  • Corresponding with organisations in relation to marketing for the firm.
  • Ordering office stationery and ensuring stationary is not depleted.
  • Assisting with archiving.
  • Assisting with work on the Client Case Management Systems.
  • Uploading and maintaining clients and opponents' information on the Case Management System.
  • Undertaking conflict and other searches (as instructed) on potential clients.

Client Interaction:

  • Act as the first point of contact for clients, addressing inquiries and ensuring a professional and courteous interaction.
  • Coordinate client meetings, including scheduling and preparation of meeting materials.
  • Maintain confidentiality of client information and handle sensitive matters with discretion.

Office Management Communication:

  • Handle incoming and outgoing communication, including phone calls, emails, and faxes.
  • Relay messages and important information between the director, clients, and other staff members.
  • Assist in the preparation and distribution of legal documents and correspondence.
  • Coordinate office supplies and equipment maintenance, ensuring a well-functioning work environment.

Skills & Experience:

  • Experience in the advertised role within a law office.
  • Knowledge of relevant regulations, and best practices in the law sector.
  • Good management skills, with the ability to motivate and develop a team.
  • Excellent communication and interpersonal skills, with the ability to build rapport with clients.
  • Exceptional organisational and problem-solving abilities.
  • Proficient in IT systems, including Microsoft office.
  • Ability to type accurately.
  • Ability to write reports to a high-quality standard.
  • A commitment to delivering high-quality work.
  • Ability to handle confidential information with discretion.
  • Strong multitasking and time-management skills.
