Our client based in Southampton town centre has an immediate requirement for an experienced receptionist to join their front of house team on a temporary basis for 6 to 9 months.The main purpose of the role is to provide reception services, both by phone and face-to-face, and support the facilities team in the management of the office building.Your day-to-day duties will include the following:
- Welcome and register visitors.
- Inform the relevant party of clients/visitor's arrival.
- Organise refreshments and lunches for meetings.
- Manage meeting room bookings.
- Organise the booking of car parking as appropriate and deal with issues.
- Ensure the reception area and meeting rooms are kept clean and tidy and stocked with supplies.
- Keep a log of all incoming mail and tracking courier movements.
- Dealing with all incoming and outgoing mail.
- Assisting with filing, archiving and other general administration duties.
- Ordering stationery.
- Binding documents.
- Setting up a variety of media for the boardroom and relevant training/meetings.
- Dealing with facilities issues.
- Liaising with Marketing re organizing Seminars / Webinars etc.
- Setting up Zoom, Microsoft teams, Skype meetings.
- Reporting IT Issues to the helpdesk.
Applicants must have recent reception / front of house experience and will be experienced in managing a busy telephone switchboard. You must be customer friendly, have good attention to detail, be polite, friendly and have a confident telephone manner; a good working knowledge of IT systems and using MS Word, Outlook and Excel is also essential.You will be required to work a minimum of 37.5 hours per week, Monday to Friday 9.00am to 5.30pm with a one-hour unpaid lunch break per day.
