JOB TITLE: RECEPTIONIST
LOCATION: EAGLE WOOD NEUROLOGICAL CARE CENTRE
HOURS: 38.5 HOURS/WEEK INCLUDING WEEKENDS
RATE: £12 PER HOUR
AIMS OF POSITION
- To ensure that all visitors and callers’ first impressions of PJ are excellent.
- To maintain front of house presentation standards.
- To provide assistance to visitors and staff.
- To provide administrative support to the staff based at Eaglewood.
Key Areas of Responsibility:
- Deal with enquiries in such a way as to promote the goodwill of PJ Care Ltd.
- Answer all incoming telephone calls, transfer them to the correct person, taking messages when the person is unavailable. Ensure messages taken are emailed to the person concerned at the earliest opportunity.
- Receive visitors and residents, ensure they sign into the building appropriately and ensure staff expecting them are aware of their arrival.
- Distribute incoming internal and external mail throughout Eaglewood.
- Liaise with Support Services to ensure that all maintenance and transport requests are fulfilled.
- Provide general administration support for all staff at Eaglewood as and when required.
- Liaise effectively with the other Part-time Receptionists to ensure continuity of Reception Service throughout the day. Work as part of a team with all other Receptionists and Night Porters in the Company.
- A ‘Clear Desk’ policy must be maintained, doors must be secured, and PC must be locked whenever Reception is left unattended, to ensure the confidentiality and security of all Company information to comply with the Data Protection Act.
- Incident Controller Duties.
- Undertake other reasonable duties as may be requested.
QUALIFICATIONS AND QUALITIES
- Customer Service/Receptionist Experience
- Clear and accurate telephone manner
- I.T. Literate
- Good organisational and time management skills with ability to work as part of a team.
- Communication skills.
