Job description

We are seeking a reliable and customer-oriented receptionist to join our team at Pro Rental, a family run van rental company.

As the first point of contact for our customers, you will play a crucial role in delivering exceptional customer service and ensuring smooth operations. This position involves answering incoming calls, assisting with inquiries, and providing administrative support. The successful candidate must be over the age of 25 with a clean driver's license, as van driving may be required.

Working hours will be circa 20-25hrs per week, with the potential to increase. Working rotas will be 8:45am - 2pm, Monday - Saturday. Every Sunday off plus a day off in the week to be confirmed.

Responsibilities:

  • Customer Service: Greet customers and visitors warmly and professionally both in person and over the phone. Address customer inquiries, concerns, and requests promptly and courteously. Provide accurate information about our van rental services, rates, and policies.
  • Phone Operations: Answer incoming calls in a timely and friendly manner. Take detailed messages when necessary and ensure they are relayed accurately.
  • Reservation Management: Assist customers in making reservations for rental vans, ensuring accuracy of booking details, rental periods, and vehicle types. Coordinate rental schedules and availability effectively.
  • Documentation: Maintain organized and up-to-date records of customer interactions, reservations, and rental agreements. Accurately input customer information into our online system.
  • Administrative Support: Provide administrative assistance, including handling paperwork related to rentals, managing contracts, and processing payments. Perform general clerical duties such as filing, faxing, and photocopying.
  • Driver Requirements: Occasionally drive rental vans for short distances as needed. Ensure compliance with safety protocols and traffic regulations. Conduct vehicle inspections before and after each use to ensure they are in proper working condition. Reporting to the directors with any works that are needed and ensuring the vans are off the road for as little time possible with forward planning.
  • Collaboration: Communicate effectively with the directors to coordinate van availability, maintenance schedules, and customer requirements.
  • Problem Resolution: Address and resolve customer issues or concerns professionally and promptly. Escalate complex matters to the appropriate supervisor or manager.
  • Maintain Cleanliness: Ensure the reception area is clean, organized, and welcoming at all times. Arranging and assisting with van cleanliness is also required.

Qualifications:

  • Prior experience in customer service or receptionist role is preferred.
  • Excellent communication skills, both verbal and written.
  • Professional demeanour and strong interpersonal skills.
  • Proficient in using office software (Microsoft Office Suite, email, etc.).
  • Over the age of 25 with a valid and clean driver's license. A DVLA check code will need to be provided.
  • Ability to handle multiple tasks and prioritise effectively.
  • Attention to detail and accuracy in data entry and documentation.
  • Flexibility to occasionally drive rental vans as required.

Working Hours: Monday to Friday from 8:45am,-2pm Saturdays 2pm finish.
