We are looking for a reliable and proactive Reception and Office Administrator to provide efficient administrative support to our office operations. The ideal candidate will be organized, possess excellent communication skills, and thrive in a fast-paced environment. As an Office Administrator, you will play a vital role in ensuring the smooth day-to-day operations of our company.
Responsibilities:
- Greet and assist visitors, clients, and employees, both in person and over the phone, providing a friendly and professional demeanour.
- Order Processing
- Manage incoming and outgoing correspondence, including mail, emails, and phone calls, and direct them to the appropriate individuals.
- Coordinate and schedule appointments, meetings, and conference calls, ensuring all participants are informed in a timely manner.
- Maintain office supplies inventory by checking stock levels, anticipating needs, placing orders, and verifying receipt of supplies.
- Assist in the preparation and organization of company events, meetings, and presentations.
- Manage and maintain office filing systems, both physical and digital, ensuring documents are accurately labelled, stored, and easily accessible.
- Collaborate with various departments to support their administrative needs and ensure efficient interdepartmental communication.
- Perform general clerical tasks, such as data entry, photocopying, and filing, as required.
Qualifications:
- Proven experience as an office administrator, office assistant, or similar administrative role.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy, ensuring tasks are completed to a high standard.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Outstanding communication skills, both written and verbal.
- Ability to handle sensitive and confidential information with integrity.
- Strong problem-solving skills and the ability to adapt to changing priorities.
- Prior experience in the manufacturing industry is a plus.
