What the job does:
The Retail Operations & Maintenance Assistant Manager is a key role within the Retail team, reporting into the Regional Sales and Operations Manager working closely alongside the Retail team, Project Management team, EMEA Store Design & Visual Merchandising team, Supply chain & our external vendor partners. A fast-paced & exciting role, ensuring all elements of our Store environment projects are executed across both our existing & expanding estate across the regions.
Key Responsibilities:
Maintenance
- Ensure Store & VM Maintenance reported issues are resolved to a high standard, timely manner and within budget
- Manage all Maintenance tickets from submission to completion, ensuring relevant suppliers are notified and communication is kept fluent between all parties
- Raise PO’s for all works completed and ensure any payment issues are resolved.
- Work closely with VM team to ensure all counters are displayed to a high standard and complete any necessary update orders and tasks.
- Provide quarterly analysis in partnership with Suppliers to identify reoccurring issues to feedback to Store Design teams
Communication & BAU
- Be the go-to expert for all store related issues and technology systems
- Daily management of Retail Operations inbox, reply, escalate and resolve any issues, and support Office team with Retail queries
- Ensure the Retail Communication platform is kept up to date with relevant information being added as and when needed
- Ensure all NPD launches are communicated effectively and monitored to ensure successful launch.
- Build strong relationships with key counterparts within the business
Budget Management
- Tracking and monitoring spend vs Budget, including raising of POs on a weekly basis
- Assist in creation of budget for Retail Operations OPEX spend allocated to your region
Health and Safety
- Ongoing management of compliance for all Health & Safety, Legal (incl GDPR) and other guidelines across your countries of responsibility, in partnership with relevant departments.
- Provide insight into any accidents and near misses to the wider business, ensuring communication with retail team following these incidents
- Identify Risk management and best practices to ensure these are implemented successfully, with Team Tilburys safety as top priority.
In-Store Operations
- Ensure operational excellence across the store estate by creating, implementing, monitoring, and reporting effective operational processes
- In partnership with Supply Chain, ensure all NSV orders for retail counters are raised in a timely manner
- Partner with relevant functions to ensure GWP activations are clearly communicated to relevant retails teams and regions
- Identify opportunities for operational excellence and drive new ways of working with a focus on data-informed, profit-focused, and technological advancement.
- Identify opportunities for enhanced customer experience and present this to the business for approval
- Ensure Goods not for re-sale are forecasted accurately and ordered effectively including tools, stationary, paperwork, testers and hygiene.
Projects
- Support with leading the opening of new and existing counter refits to ensure a successful launch, being on-site and maintaining best practices
- Lead on retail projects, maintaining the project plan to ensure a successful launch
- Operations experience within the beauty/fashion industry and European markets
- Highly organised and able to prioritise workload effectively whilst maintaining exceptional attention to detail
- Proven track record in implementing projects, change management and training teams on new ways of working.
- Experience in executing store projects and ability to engage and set best practice for store managers
- Experience with supplier management
- Confident with budget management and daily financial tasks
- A reactive and flexible attitude towards tasks
- Able to flourish in an autonomous environment
- Excellent skills in Microsoft Office, Word, PowerPoint, Outlook, Excel
- Must be open to travel across Europe
