Job Type: Full Time, Permanent

Location: Aberdeen

Salary: £21,536 - £23,436 per annum

The Role

The Service Administrator will act as the first point of contact for those seeking support for their mental health and provide administrative support to our Mental Health & Wellbeing Practitioners to ensure they can offer access to a range of opportunities for people to improve their mental health and wellbeing.

Key Responsibilities

  • Provide a warm and welcoming approach to people contacting the service.
  • Respond to all incoming enquiries to the service; in-person or via telephone or
  • email.
  • Process and monitor referrals to the service.
  • Work collaboratively as part of the Welcome Team, and with the wider service
  • team to ensure a seamless experience for supported people.
  • Ensure all communications are accessible and engaging.
  • General secretarial and administrative support including word processing,
  • spreadsheets, database, photocopying, distributing documents and electronic filing.
  • A pioneering charity supporting people on their journey to better mental health.
  • Create and update support records.
  • Maintain systems of information related to service provision as required.
  • Collate feedback on people's experiences of the service.
  • Prepare service delivery statistics.
  • Maintain accurate and comprehensive signposting resources.
  • Contribute to the efficiency of service standard operating procedures.
  • Contribute to the organisation of workshops, events, meetings and travel arrangements as required.
  • To maintain systems of recording information related to finance, staffing, health and safety and contract monitoring.
  • To maintain stock of publicity materials including service leaflets etc.
  • Attend service meetings to take minutes and update records as required.
  • Order and maintain office supplies.
  • Undertake research tasks as required.
  • Undertake such other duties as may be require by your line manager.

Skills &Qualifications

  • Experience of reception/telephone work.
  • Experience of working in an office environment.
  • Experience using a range of software packages including Excel, Outlook, Work and Access.
  • Experience of creating and managing spread sheets & databases.
  • Ability to maintain accurate records and prepare complex statistical information.
  • Speaks and writes clearly and accurately and ensures the message is understood.
  • Explains clearly and accurately issues, policies, procedures and other pertinent information.
  • Conveys sensitive or contentious information tactfully.
  • Experience of working in a Social Care Organisation.
  • Experience of working without limited supervision
  • Experience of desktop publishing and presentation packages.
