The team
The Content and Legal Compliance team focus on ensuring that ITV content on all platforms maintains ITV’s legal, regulatory and editorial standards, while providing solutions-based pragmatic advice which is responsive to editorial, commercial and operational requirements.
The role
As a Team Administrator, you will play a vital role within the Group Legal team providing support to the Director of Legal and Content Compliance. The successful Team Administrator will need to be able to work on their own, be comfortable with taking instructions, confident to approach senior members of ITV and balancing the demands of senior leaders.
Key Responsibilities include (but are not limited to):
- First respondent to requests from Ofcom for recordings of broadcasts and responsible for immediate reply to requests from the police/lawyers/other organisations for clips or copies of broadcast programmes.
- Draft legal paperwork when required, particularly formatting and proofreading documents to be signed by the Director.
- Maintain absolute confidentiality of all issues discussed.
- Design presentations using Google slides/powerpoint from initial hand-written drafts or notes taken from conversations.
- Managing the constantly changing diaries of a Legal Director and setting up in-person or online meetings through Google by ensuring meeting rooms, refreshments and presentation materials/detailed agendas are arranged prior to meetings.
- Screen internal and external telephone calls/requests, take messages, communicate incoming and outgoing information in a professional, discreet and diplomatic manner
- Monitoring the Director’s inbox, recognising each of their key objectives, deadlines and priorities, dealing appropriately with a range of internal/external correspondence/enquiries by mail (once in an office based environment), e-mail and telephone
- Additional admin responsibilities such as ensuring POs, invoices, expenses and payments are completed in a timely manner; arranging and booking travel and accommodation (as required), and maintaining organisational charts within teams.
- Keep and maintain a proficient tidy and organised filing system both online and in physical form (as needed) so documents are stored securely and easy to retrieve within the Group Legal teams
- Type confidential documents accurately and at speed
- Take appropriate action on day to day legal issues, carry out research on various topics as required
- Build and maintain reliable and trusting working relationships with the Directors
- Assisting with onboarding of new joiners and managing the leavers process, ensuring all I.T equipment is handed back in a timely manner and mailboxes and google documents are transferred over where necessary.
- Notifying genre heads of newly commissioned programmes, producing weekly list of new commissions to be allocated and maintaining up to date allocation list of commissioned programmes.
- Populating central lists with compliance information and distributing reporting restrictions, court notifications etc to legal alerts groups.
- Undertake a range of Legal and compliance specific tasks as required and other ad hoc duties for the wider teams when requested
Skills you’ll need (minimum criteria)
- Maintain confidentiality on all issues discussed
- Administrator and PA experience at Director level
- Experience of corresponding with external official bodies (e.g. Ofcom)
- Flexible and take a creative approach to problem solving various issues
- Demonstrate the ability to be a proactive self-starter with initiative and accuracy, ensuring attention to detail is given to all tasks
- Strong organisational skills
- Build good working relationships to meet business needs and objectives
- Strong technical skills - you will be required to utilise various applications from Google Workspace and access additional technical systems
