Role Description
As a Team PA you will be assisting a team of legal recruitment consultants in a fast paced but friendly environment. You will also be offering support to the office manager, and the broader business when necessary. This is a full-time permanent position.
Key Responsibilities
General Responsibilities:
Screening and handling phone calls, enquiries and requests.
Emails and inbox management.
Liaising directly with clients, suppliers, candidates and other staff across all levels, from paralegal to General Counsel.
Formatting candidate CVs and managing online portal systems.
Drafting, formatting and proof-reading staff, client and candidate correspondence.
Organising candidate interviews, liaising directly between clients and candidates.
Allocating candidates to consultants.
Monitoring and forwarding emails when consultants are away and flagging new roles that come into the teams.
Updating the Hot-Jobs list with new roles and placements.
Using Outlook, Word, Excel and our CRM system.
Maintaining office systems and the database, including client and candidate data management.
Scanning, filing and safely disposing of sensitive information.
Managing online job advertisements.
Assisting the office manager with day to day tasks and ad-hoc office responsibilities.
Ad Hoc Responsibilities:
Organising entertainment and lunches for candidates/clients/associate team.
Assisting with any marketing materials and mailshots e.g. bi-annual market monitor; paper and email mailshots; Christmas gifting and birthdays.
Assisting social secretary with EJ Legal staff entertainment.
Posting roles and general company updates on LinkedIn.
Providing support to the PA team.
