Wow Factor: An exciting opportunity has arisen for a Team Assistant to join our client based in Westminster. As a Team Assistant, you will provide comprehensive administrative and operational support to ensure the smooth functioning of the organisation's various teams and departments. Your role will be crucial in facilitating effective communication, coordinating schedules, managing records, and assisting with the implementation of religious programs and events. The ideal candidate will have strong organisational and interpersonal skills.
Role: Temporary Team Assistant
HOURS: 9am - 5.30pm, four days per week
SALARY: £14 per hour
LOCATION: Westminster

What you will be doing…
- Act as first point of contact for administrative and general telephone queries
- Greet visitors and fielding queries from external stakeholders, to provide a positive first impression of the Investments Division.
- Deal with internal/external post for the Investment Division
- Provide diary support to designated senior team member(s) as required including arranging meetings, booking rooms, arranging refreshments and equipment needed
- Provide diary support to teams where included, this involves working within international time zones and liaising with international fund managers.
- Provide accurate assistance with general communication & preparation
- Support the Head of Administration organising lunch and travel arrangements relating to the meetings, as well as Divisional projects and events.
- Organise quarterly meetings for Strategic/Rural teams.
- Provide support for departmental communications and photocopying, as well as electronic and other presentations.
- Organise UK travel/ accommodation as required, keeping within budget.
- Ensure international travel arrangements is covered
- Update international travel log, for risk assessments/flights/accommodation.
- Record and manage expenses for various teams which can include international exchange rates.
- Maintain and update new starter lists for IT equipment, liaising with the IT team as necessary.
- Monitor and order stationery supplies for the Division.
- Support the Head of Administration in reviewing and ensuring the continuous improvement of administrative activities and processes in the Division.
