We are seeking an Events Coordinator that will assist in the growth of commercial events revenue stream for the business. Responsibilities Include:
• Manage and support the setting up, preparation, coordination, and availability of event spaces/tracks, with assistance from the Sales & Marketing Coordinator.
• Working with couples to create, coordinate and deliver magical weddings from beginning to end.
• Planning and tailoring commercial events for clients such as cruise ship owners, energy companies and luxury car brands. Delivering events which meet customer expectations and fall within their budget.
• Deliver fantastic customer service, making clients feel comfortable and confident throughout the event planning process.
• Plan, manage, and coordinate indoor and outdoor events adhering to timelines and priorities for each project.
• Ensure flawless execution of events, with on-site management and problem-solving skills.
• Identify and leverage opportunities and platforms to market and promote events to potential customers.
• Communicate and negotiate with various suppliers to facilitate the sales process.
• Keep accurate and organised records of vendor contracts, budgets, and client details.
• Manage and oversee activity providers and contractors.
• Collaborate with the Sales and Marketing team to create new events and products for direct sales and the travel trade.
• Contribute to the development of marketing strategies to increase the visibility and appeal of events.
• Handle bookings, payments, and invoicing, in collaboration with the finance team.
• Coordinate with the Estate Manager to arrange accommodation and other activities for all event guests as needed.
• Collaborate with all other departments to align events with overall organisational goals.
• Work effectively with the estate management team to handle any emergency situations or incidents.
Qualifications/Personal Requirements:
• Driving licence and car is essential.
• Qualification in Event Management, Hospitality, Tourism or a related field is desirable.
• Demonstrated experience in event planning and coordination (2 years plus preferred).
• You will be running 20-30 events per year. We require someone flexible who is able to work weekends when there is an event on.
