Admin Support Officer to cover Maternity leave.
- Tower Hamlets Office based
- 35 hours per week
- £19.05 per hour PAYE & £24.91 per hour Umbrella
- To distribute incoming correspondence, in accordance with procedures.
- To take telephone calls from callers in relation to property alterations and subletting forwarding their queries to the appropriate team/Officer.
- Respond to telephone enquiries securing the best service and outcomes for customers.
- To handle a range of internal and external enquiries in a polite and professional manner and referring to the appropriate officer as required.
- To provide support to senior staff on a planned or ad-hoc basis.
- To arrange service meetings, book and prepare rooms, prepare, and circulate agendas and papers, provide, and circulate minutes and monitor follow up actions as necessary.
- To set up and maintain file management systems, including archiving, storing, and retrieving documents. Maintain a library of reference documents for use by Leasehold Services.
- Act as a point of contact within the service area for IT issues. Arranging IT systems access for staff and contractors.
- To comply with measures to protect the confidentiality of information in accordance with London Borough of Tower Hamlets policies and procedures, including the duties outlined by the Data Protection Act. To compile and process information regarding revenue accounts.
- To raise orders and pay invoices on behalf of the service as and when required.
- To produce statutory legal documentation (e.g., Section 125 Notices) and get them checked by a senior member of staff.
- To contribute towards achieving the Service's performance targets.
- Carry out other reasonable ad hoc duties to support the Service, which are commensurate with the expectation of the post as directed by the line manager or the Head of Service.
- Demonstrate use of systems and processes to other service members and aid with using them. Monitor progress of work processes. This includes creating basic reports and highlighting issues to the Team Leader.
