As the Administration Assistant you will play a key role in providing efficient, proactive, and highly confidential support to the Public Health leadership team. The central aim of the Public Health service in Wokingham is to improve the health of local residents, reduce differences between life expectancy, and improve healthy life expectancy. Key responsibilities :To work with a great deal of autonomy, managing all diary management for Public Health leadership. Understanding clearly when to seek clarity and guidance with conflicting priorities and requested meetings. Extensive diary management, maintaining the smooth running of the relevant Public Health leaderships diaries using independent judgement to prioritise the work schedule in accordance with changing priorities, liaising with all relevant parties in an efficient and effective way, ensuring the efficient use of diary time. Take full ownership and responsibility of tasks, issues, calls and appropriate enquiries for Public Health leadership. Ensuring that outstanding tasks are followed up, whilst ensuring that service requirements, corporate policies and procedures are adhered to. Independent preparation of routine administration tasks, such as, reports, spreadsheets and presentations with a high degree of confidentiality and accuracy. To prepare and collate all paperwork for the Public Health leadership meetings and minutes when required. Skills/qualifications and experience required:Experience supporting senior leadership teams or similar experience. Good IT skills with previous experience in using Microsoft Windows, Word, Excel, PowerPoint and Teams. Good written and verbal communication skills with an ability to vary the style to meet the needs of the audience. Ability to actively listen in order to extract and assess the important information. Analyse management data and communicate to groups, including recommending appropriate action where necessary. Ability to work with tact, diplomacy, and sensitivity.
