To support this, we have embarked on a fragrance transformation journey to deliver world-class fragrances for our Personal Care, Beauty & Wellbeing and Home Care Business Groups. This transformation will consist of expert fragrance teams with the skills to design and formulate winning fragrances.
JOB PURPOSE
This is an exciting new role within R&D Fragrance Design at Port Sunlight. You will be responsible for the provision of all administrative support for the Fragrance VP and a team of R&D Directors, in a professional and confidential manner. You will find ways to improve the automation of operations; proactively suggest digital tools that will aid efficiency and support the wider Unilever fragrance department by implementing digital tools and processes to improve daily administrative tasks.
RESPONSIBILITIES
- Co-ordinate and maintain very dynamic diaries for the VP and team of Directors; identifying practical ‘diary solutions’ to complex schedules.
- Organise and book travel of varying complexity, within budget, and complete Visa requests as required.
- Arrange internal/external meetings/workshops for the VP and Directors, and departmental conferences. Including searching for appropriate venues for off-site events and arranging necessary transportation for attendees.
- Develop and use digital tools, for yourself and the wider to team, to improve the operational efficiency of processes, activities, and meetings.
- Accurately process expenses via online expense reporting system.
- Set up Live Meetings and Digital Broadcasts to support department communications.
- Accurately record and transcribe meeting minutes or documents.
- Aid the wider fragrance department as needed, including assisting team members with complex travel needs (e.g. international travel).
- Pro-active team member within the PA community at Port Sunlight providing support and cover for holidays and short-term absence.

We are looking for a digitally savvy assistant with the right attitude, competencies, and growth mindset to join our expanding and dynamic team.
Experience:
- GCSE English and Maths, or equivalent, as minimum requirement.
- Secretarial / Administration qualifications are preferable.
- Relevant experience of Assistant / Administration roles for C-Suite executives, including management of multiple diaries.
- You will be a quick learner who is not afraid to take the initiative to get things done.
- You will have the ability to prioritise; multi-task and have strong organisational skills.
- You will be digitally literate and highly competent with all aspects of Microsoft Office applications (Word, Excel, Outlook & Teams).
- You will look for opportunities to improve processes and ways of working, especially through the application of digital tools.
- You will have excellent interpersonal skills with the ability to build and maintain effective networks and operate with senior stakeholders professionally.
- You will have strong written and verbal communication.
This role is based in Port Sunlight, R&D some local business travel may be required, for example to support external conferences & events. UK driving licence is preferable.

Location
In September 2020, Unilever announced the intention to build a new sustainable campus site in Kingston, London to house the employees who currently work in 100 Victoria Embankment in Blackfriars, Lever House in Kingston and Graze in Richmond. We are creating our own Unilever sustainable, agile work environment, purposefully bringing us together in our own Unilever ecosystem. The campus is due to be completed in early 2025 and will consist of two interconnected buildings, as well as landscaped surrounding areas.

Recruitment Fraud
Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs. These types of attacks are becoming more common as more people are looking for employment in the economic climate.
How is Unilever tackling this?
Many of Unilever’s recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.
