Job description

Here at Graham & Brown, we are looking for an enthusiastic Administration Team Manager to join the Administration Team, based at our Shuttleworth Mead Distribution Centre in Padiham. You will join us on a full-time, permanent basis. In return, you will receive a competitive salary of £26,606 to £33,257 per annum, plus a great range of benefits.

As our Administration Team Manager, you will ensure that the team is working effectively and collaboratively to meet both internal and external customer and company requirements. To ensure the effective management of the team in answering queries, presentation, and correctness of orders and to ensure effective communication between departments is of the highest standard.

Our Administration Team Manager will have the following responsibilities:

  • Oversee day-to-day administrative operations within the distribution office.
  • Manage the creation of daily, weekly and monthly reports and take any corrective action required.
  • Coordinate with warehouse colleagues to ensure efficient order processing and timely shipments.
  • Collaborate with inventory team / supply team to ensure timely receipts of purchase orders.
  • Liaise closely with the Logistics & 3PL Manager and the shift Team Managers daily.
  • Liaise with Sales Administration and Customer Service teams to ensure orders are picked and despatched on time.
  • Implement, improve and maintain office procedures to enhance overall operational efficiency.
  • Supervise administrative colleagues, providing guidance and support as needed.
  • Maintain accurate records of shipments, and other records of shipments.
  • Collaborate with other departments to streamline communication and optimize workflow.
  • Collaborate with account managers / IT, regarding new customers set up requirements.
  • Handle customer enquiries and resolve issues related to the distribution processes.
  • Implement and enforce safety protocols to ensure a safe and secure working environment.
  • Ensure ongoing monitoring and reporting of customer SLA’s.
  • Design, monitor and report ongoing KPI figures for the team

Experience and skills required by our Administration Team Manager:

  • Proven line management experience (Preferred but not essential)
  • Excellent Customer Service skills
  • Strong administration and numerical skills.
  • Excellent verbal and written communication skills
  • Good attention to detail
  • Confident in speaking to customers on the telephone.
  • Organisation skills
  • Ability to work on own initiative.
  • Excellent knowledge of Microsoft Office packages
  • A flexible approach to work
  • Able to solve problems.
  • Able to deliver continuous improvement in quality and efficiency.
