Administrator, Organisation, Planning, Events, Coordinating, Temporary, £13.33 per hour

Your New Company
A reputable organisation is looking for an Administrator within the Staff Wellbeing Team to provide comprehensive and professional support to the Team. This is a temporary 12-week role.
Your New Role

  • Develop, maintain, and review a comprehensive Staff Wellbeing Programme throughout the calendar year, actively organising a wide range of events and physically attending these events to encourage staff engagement and participation.
  • Provide a comprehensive, professional and confidential administrative service and support the work of the Staff Wellbeing Officer and management, including organising and servicing relevant meetings, preparing and circulating agendas and minutes, following up as required and compiling action and decision logs.
  • Assist in the development of Staff Wellbeing policies and processes that are fit for purpose and are linked to current good practice.
  • Advise on Staff Wellbeing events, activities, and schemes in line with our Staff Wellbeing Plan and effectively communicate with staff, enabling the promotion of wellbeing initiatives in a fair and transparent manner, in line with our core values.
  • Proactively plan and organise a calendar of Staff Wellbeing events/activities, liaise with the relevant parties to ensure they are delivered effectively e.g., cost, communication, time, attendance, room bookings and include analysis and evaluation of effectiveness.
  • Coordinate and physically attend and support all Staff wellbeing events and taking the lead of all aspects of effective administration e.g., issuing invitations and managing responses/ attendance lists, preparation of presentations, organising venues/equipment/hospitality and supporting registration.
  • Create and develop new and bespoke ideas for the promotion of Staff Wellbeing, identify and research content and best methods for delivery, follow up on leads and create engaging content for wellbeing
  • Deliver awareness presentations to relevant internal stakeholders on the Staff Wellbeing Programme e.g. new staff welcome events.
  • Assist in the development of the Staff Wellbeing webpages, resources, guidance booklets, etc ensuring effective communication of the total wellbeing offering to prospective and current employees.
  • Update and maintain the Staff Wellbeing communications channels, including the website, Staff Wellbeing Twitter, internal communication channels, email templates and SharePoint providing regular updates for staff within appropriate timescales.
  • Co-ordinate, publish and circulate Staff Wellbeing e-bulletins / e-newsletters for staff. This will involve developing design templates, reviewing existing approaches, proofing copy and issuing newsletters.
  • Proactive running of reports from internal/external systems, analysing information, data and or calculations, and presenting results accurately and appropriately.
  • Assist in the provision and analysis of wellbeing data in support of institutional requirements and completion of returns. Production of management information in response to requests
  • Assist in the monitoring of the Staff Wellbeing budget ensuring that the Purchase Card, invoice processing and reconciliation and P2P are processed within the established procedure.
  • Responsible for keeping accurate records for reporting internally with the organisation
  • Make suggestions for improving service and efficiency as appropriate.
  • Carry out any other duties which are appropriate to the post.

  • What You'll Need to Succeed
    A minimum of 5 GCSE's at Grade C or above (or equivalent) to include English Language and Mathematics or NVQ Level 2 Administration or equivalent.
    A minimum of three years' (demonstrable) recent relevant work experience in an administrative environment to include evidence of the following:
  • Supporting the organisation and delivery of initiatives / events to a range of people
  • Working on multiple tasks/projects, managing own workload from start to finish and reacting to changing priorities.
  • Competent in the use of Microsoft Office and windows applications, using databases/spreadsheets to analyse data and to present results accurately.
  • Carrying out a range of complex administrative duties which involve using initiative and making decisions.
  • Ability to be customer focused and exceed client needs / expectations whilst managing workloads with minimal supervision.
  • Ability to work on own and as part of a team. Responding to changing pressures or requirements in a proactive manner.
  • Ability to manage resources.
  • Effective communication skills and ability to use a variety of methods to convey messages clearly and succinctly
