Job description

Location - Central London / Hybrid - regular attendance (2+ days a week) at London HQ is expected as this role will require office management  

Contract - Permanent, Full Time (35 hours p/w)  

Start date - Ideally by end of March 2024, but flexible for the right candidate 

Salary - £30,750 - £33,000 per annum 

Reporting to – Operations Manager

WHAT YOU'LL DO

We’re looking for a super-organiser with a knack for communication, who can juggle priorities and streamline processes. This is a dual role supporting the Development team to manage two successful Enterprise projects, as well as supporting the Operations Manager with people and operational support, and office management.  

Supporting the Development Team 

Hubbub Enterprise is the social enterprise arm of Hubbub Foundation, the Charity. Founded in 2016 to scale and replicate the best ideas of the Hubbub in order to maximise both impact and income. It holds a Queen’s Award for Enterprise, and all of its profits go back into the charity. 

Today Hubbub Enterprise is best-known for selling ‘nudge’ voting ashtray, the Ballot Bin, across the world. It also runs ‘Plastic Fishing’ trips for businesses in London’s Docklands.  

This role will be about 50% of your time and will include:

Plastic Fishing

  • Sales and customer service – responding to enquiries, bookings and trip follow ups from current and potential clients. 
  • Liaising with our key partners to schedule trips, including the Sailing Centre, our team of skippers and trip facilitators. 
  • Ongoing management of important clients. 
  • Joining Plastic Fishing trips (if you fancy a fun extra!)  

Ballot Bin

  • Sales and customer service – responding to product and order enquiries. 
  • Liaising with our key partners to fulfil orders, such as our manufacturing partners and our international distributors. 

Other

  • Generally spotting new sales opportunities on both products, developing new customer relationships, and exploring distribution partnerships.
  • Working closely with the finance team to ensure invoices are paid on time. 
  • Looking for ways to make efficiencies on both Plastic Fishing and the Ballot Bin, for example using tech and automations to manage workflows. 
  • Passing on promising leads to Hubbub’s Development team. 
  • Help with setting up any future Enterprise projects! 

People and Operations  

Working closely with the Operations Manager, this part of the role will support the wider Hubbub team by keeping the organisation running smoothly. This role will be about 50% of your time and will include tasks such as: 

People support 

  • Keeping HR records up to date 
  • Recruitment coordination  
  • Assisting with planning the training calendar 
  • Supporting with D&I activities 
  • Arranging team socials and away days 

Operations support 

  • Managing Hubbub’s core email inbox, making the most of all enquiries to maximise Hubbub’s impact and new opportunities.  
  • Keeping on top of our IT support and making sure everyone has the tools they need to work. 
  • Proactively looking for new tech or ways of working that can support us to work better. 
  • Liaising with our insurance brokers to make sure our policies are up to date. 
  • Ensuring Hubbub’s GDPR records are up to date. 
  • Supporting with calculating our carbon emissions. 
  • Working closely with our finance team to keep invoices and expenses paid on time. 

Office management 

  • Ensuring the office is a great place to work – from re-decorating the meeting room to keeping on top of the coffee order. 
  • Assisting with booking meeting rooms. 
  • Being a helpful, go-to person for any challenges the team are facing. 

WHO YOU ARE

  • You’re meticulously organised with a super eye for detail and the ability to prioritise multiple tasks and manage your time well. 
  • You’re an excellent communicator with the ability to manage a range of stakeholders, from senior clients to seafaring skippers. 
  • You’re keen to get stuck in on anything and everything you can. No task is too big or too small.   
  • You take initiative with an eye for efficiencies and better ways of working, using technology to improve processes.   
  • You remain calm when handling unexpected curve balls. 
  • You care about people and creating a happy workplace where everyone can thrive. 
  • You're passionate about the environment, sustainability, and social wellbeing.   
  • You’re keen to be in the office at least 2-days a week, which will be an important part of the people and Operations role.

  • Holiday - 25 days per year, plus bank holidays. Our office also closes for around 2 weeks at Christmas which is additional to annual leave, and if you hang around for 5 years, we offer an additional 4-week paid sabbatical.
