Job Purpose
You'll provide a wide range of administrative support to a multi-functional Drainage Area team of up to 80 colleagues who are responsible for carrying out both reactive and planned work on the wastewater network and associated powered and non-powered assets.
Job Accountabilities
You'll be responsible for supporting the Integrated Drainage Area through the studying processing and monitoring/tracking of progress of outputs. Tracking written and escalated complaints and information requests received into the Drainage Area office, ensuring that Service Level Agreements (SLA's) are met. You will also be responsible for:
- Co-ordination of internal and external communications e.g. written complaints, requests for information etc and allocation to the appropriate member of the team.
- Supporting SIM/CMEX multifunctional teams to allocate customer contacts to appropriate team and help identify unresolved jobs and potentially dissatisfied customers
- Provision of administrative support at meetings e.g. note taking and minutes distribution
- Tracking action logs and the completion of actions and escalate where required.
- Monitoring vehicle/tools and equipment inventory
- Stock control and procurement of goods and services e.g. uniform, stationary, tools, equipment, PPE etc
- Population of shift and standby rota's
- Booking training courses for team members including liaison with scheduling teams to ensure non-availability is recorded
- Recording and collation of regulatory, statutory and performance data to ensure compliance with internal and external audit requirements
- Logging all asset surveys e.g CCTV, equipment inspections etc. on appropriate trackers
- Collation of daily vehicle check sheets and defect notices.
- Collation of fuel card transactions
Knowledge and Skills
To be considered for this role you'll need to be educated to level 2 i.e. GCSE or equivalent, including mathematics and English at grades A-C and have excellent organisational skills. You'll also have:
- Good time management skills - able to work to deadline and achieve objectives
- Ability to work as a member of a team
- Effective communication skills – able to liaise with internal and external stakeholders
- Flexibility and a willingness to support others
- Excellent IT skills including the use of Microsoft Office programmes, particularly Excel, Word, Access and PowerPoint
- Experience of IT systems such as GIS/mapping (e.g. OneMap), SAP
- Driving licence and access to suitable vehicle to travel to off-site meetings
