Job description

Dynamic sustainable mining firm based in central London with a global presence and over 150,000 staff. As a confident, proactive, highly organised Executive Assistant/PA you will provide predominately 1:1 support to a highly successful, driven, entrepreneurial Vice President of Corporate Communications and Sustainability with over 20 tenure. You will be pivotal in providing business support duties and very much being the right hand support to the VP with some ad-hoc overflow support to her Senior Leadership team. You will gain excellent exposure to high profile, prestigious global projects within the communications space with a strong project management element of timelines, stakeholders, liaising with key internal and external stakeholders and ensuring the team are on track with budgets, project deadlines and collaborating as a team to deliver key projects seamlessly.

Longer term the role has huge scope to develop, you will receive a full benefits package with generous performance bonuses annually, pension, hybrid working, formal self development plan along with employee well being high on the agenda. Offices have just been newly refurbished and in a great location in the heart of central London. You will join a highly supportive, sociable team. Hours are 9am-6pm, all work remotely on Mondays

Key Duties:

  • Extensive diary and inbox management
  • Travel and expense management
  • Dealing with all correspondence in a professional manner
  • Creating high level presentations using PowerPoint, Excel and Word (Advanced skills required)
  • Organising key meeting and booking meeting rooms, both internal and external venues
  • Setting up conference calls and web conferences
  • Meet and greet visitors on behalf of the VP in a confident, professional manner
  • Organizing internal team events
  • Registering events and forums on behalf of the VP
  • Assisting team with keeping track of key projects, ensuring they are on schedule, within budget and deliver all key projects efficiently to all clients
  • Ordering of stationery/office supplies
  • Processing invoices on SAP system team

Ideal candidate profile:

  • Minimum 3 years' EA/PA experience
  • Ideally Communications background or interest in Communications e.g. Events/PR
  • Ability to liaise with internal and external stakeholders at all levels
  • Any previous project management experience, seeing actions and projects through to conclusion
  • Able to manage multiple tasks / projects with a positive, flexible and pro-active approach
  • Excellent eye for detail and strong organizational skills
  • Calm professional manner and able to work well under pressure
  • Positive attitude, initiative, ability to juggle and prioritise workload independently
  • Discretion in all matters
  • Degree level/equivalent
  • Any languages beneficial but not essential
