Job description
Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Events Assistant on a 3 month on an hourly rate of £13.44 an hour PAYE (35 hours per week). This role will be based in the office.
Responsibilities:
- Responding to booking queries and helping to maintain the booking system.
- Providing support for the planning and delivery of events such as Doors Open Day, College town halls, engagement activities and social events.
- Providing Events Administration support for internal and external event organisers looking to run activities in the Nucleus.
- Providing advice about how the space can be used.
- Signposting to internal and external suppliers to ensure the smooth running of events and activities in the Nucleus building.
- Providing on the day events support, including setting up displays or signage, acting as a fire warden or first aider if required.
- Working with communications and marketing roles in the Engagement team to ensure that events are advertised where appropriate.
- Managing and responding to booking and event queries coming into a shared inbox.
- Responding to booking queries, particularly about larger, more complex or externally run events.
- Maintain the booking system for the Nucleus.
- Working with the Events Manager and communication staff to deliver College staff recognition award events and all-staff town halls.
- Working with marketing and recruitment staff in Schools and the College Recruitment and Admissions team to deliver a college wide offer holder event.
- Working with the Research Strategy Officer to deliver successful research funder visits.
- Working with the Events Manager, Project Manager and engagement staff in Schools to coordinate the College’s contribution to major public engagement events such as Doors Open Day
Essential Skills:
- Vocational qualifications (N/SVQ 3, ONC or equivalent) plus typically 2 years’ work experience in a relevant role. Or, school education to standard grade or equivalent plus typically 3 years’ relevant work experience.
- Experience of being involved in the planning and delivery of a range of events.
- Demonstrable experience of providing excellent customer service.
- Able to demonstrate outstanding organisational skills. Able to demonstrate excellent written communication skills.
- Experience of problem solving.
- Capable of working on a number of different projects at once.
- Able to demonstrate excellent verbal communication skills, including being confident talking to a wide range of people e.g. members of the public, guests of the College, prospective students and their families.
Desirable Skills:
- A first aid qualification and willingness to act as a first aider.
- A relevant event management qualification.
- Previous experience of planning and delivering online or hybrid events using virtual event software.
- Experience and knowledge of registration platforms, such as Eventbrite.
- Experience of working in a Higher Education environment.
- An interest in the research undertaken by the College of Science and Engineering.
