Main Duties
Description:
The Event Coordinator will support Event Managers across a wide spectrum of live and virtual events in the corporate B2B Technology space. Responsibilities will also include the coordination and delivery of regular ad hoc jobs, such as gift sourcing and mailer projects. This job is full-time, 37.5 hours per week, however, we are open to flexible/part-time requests (min 30 hour).
Key responsibilities:
- Work with event managers and studio team to support with all client-related and events administrative tasks across multiple agency accounts (B2B, Technology, Non-Profit)
- Support live and digital event production, including hybrid events and webinars
- Daily liaison with clients, taking briefs and acting proactively and positively to consistently deliver on requests, attending calls and events as required
- Understand and learn internal client systems and technology to build landing pages, update campaigns, send out mass email communications and build reports
- Assistance in identifying additional ways to support our client – streamlining and simplifying processes/operations/comms, and suggesting ways to make their events more engaging to deliver greater ROI
- Supporting with event budget management and updates, liaising with suppliers and internal stakeholders to ensure invoices are paid and recorded whilst monitoring project budgets
- Assist in the creation of client reports for ongoing activities and post-project feedback
- Developing a network/database of suitable event venues and 3rd party suppliers – private chefs, florists, sustainable gift companies, immersive experience and activation providers
- Contributing to developing and growing a strong agency culture and managing internal stakeholders – maintaining sound judgement surrounding escalation and providing regular updates to ongoing tasks.
Skills and Experience Required

- Experience in delivering events (B2B event experience would be an advantage)
- Ideal candidate will have previous entry-level industry experience in event coordination and/or delivery
- Ability to deliver under tight deadlines and prioritise workload while remaining calm under pressure
- Strong attention to detail and meeting deadlines
- Excellent communication skills (written and spoken), including the ability to listen well to feedback and translate into action
- Ability to multitask, manage time effectively, and stay organised
- Ability to both delegate and manage up
- Professional and approachable manner with a positive, constructive attitude
- Ability to travel
