We are the Leading Independent Assessment Centre in the UK, offering access to a wide range of assessments that are normally out of reach to Private and Home Educated Candidates in a safe, calm and welcoming environment in our centres located across the UK.
Working hours: 8:30 – 4:30 Mon – Fri full time Maternity Cover.
The Exams Manager is responsible for:
· To administer in support of the centre staff all aspects of examinations entries at the centre.
· To facilitate accurate and timely communication amongst the centre staff and candidates so all are aware of deadlines, responses and timings of exam arrangements.
· Liaise with the Access Arrangements team to ensure where necessary, approved arrangements for candidates who have special requirements for exams are delivered.
· Management of the organisation of examinations entries. A team of invigilators and to ensure all examinations are covered accordingly with staff. To support all invigilators using a specific handbook covering the current procedures and regulations which is to be followed and to ensure the handbook is kept up to date.
· Prioritising workloads whilst delivering excellent customer service to candidates via email and telephone.
· Monitoring of internal entry system to ascertain entries, invoicing candidates and the downloading and checking base data files from each examining board for the relevant exam period.
· To coordinate with the centre manager to identify suitable alternative sites for exams where centre capacity is over, allocating invigilators and candidate where necessary and liaising with the management team for delivery of desks and/or chairs for exams where necessary.
· Prepare and make entries by electronic transfer system. Providing timetables for candidates and invigilators.
· Investigate and resolve all exam and assessment queries from learning partners, candidates and parents in a timely manner.
· Receive and thoroughly check all exam papers and materials, notifying exam boards of any shortfalls immediately. To ensure these papers are securely stored in accordance with examination board regulations.
· Investigate and report all cases of plagiarism, malpractice, appeals and special consideration for onwards transmission and consideration by the awarding body.
· Oversee exams, checking regularly that all is well with the invigilators and that sufficient spare material is available as necessary.
· To submit all script packages and label and send to relevant exam boards as soon as possible, ensuring that the security of the work is maintained at all times.
· To carry out any other reasonable requests as instructed by the centre manager.
· To have due regard for safeguarding and promoting the welfare of candidates and fellow peers.
· To be a trained first aider and fire marshal
· To undertake training as appropriate
This will role will involve a high level of customer focus and planning skills.
There will be some physical work required to set up rooms in readiness for examinations (moving desks and chairs). This will be discussed during interview.
Attributes desired but not essential:
· Experience within a busy exam’s environment is preferred. However, it is not entirely essential providing other related experiences can be demonstrated (planning, logistics, scheduling).
· A sound knowledge of Microsoft Office Packages and MIS systems is highly desirable.
· Good general standard of A Level or equivalent standard education with qualifications to at least GCSE Level Grade C or 4 standards
· Excellent customer service skills, face to face, via email and telephone
· Knowledge or understanding of education systems
· Good communication and interpersonal skills – ability to work in a team and independently
· Smart appearance
· Ability to adapt quickly to different situations
