Job description
As Executive Assistant you are the person who keeps the show on the road, the glue that holds the Sibstar team together.
Your main responsibilities
- Provide support to the CEO and wider team
- Support communication between all internal and external stakeholders, executives, and their wider teams
- Managing the scheduling of agendas, mail, emails, calls, travel arrangements, and more
- Organise team events
- Provide administrative support in meetings, providing documents, and taking notes
- Produce monthly executive reports, letters, presentations, and graphical information
Your day to day responsibilities
- Diary management: scheduling meetings and organising diary entries
- Arrange meetings e.g Board meetings and other key meetings
- Setting reminders for meetings, appointments and other important tasks
- Planning workshops, seminars and other events e.g. Town Hall
- Taking notes at meetings, preparing the minutes and subsequently distributing to all participants
- Liaising with other members of staff and external parties such as clients and press
- Book travel and hotel arrangements
- Email Inbox management
- Linked In Inbox Management
- Presentation design / prep
- Recruitment admin
- Managing and ordering collateral/leaflet
- Point of contact whilst on holiday
- Level 2/3 partnerships management
- Office management (e.g. insurance, supplies)
- Ad hoc research e.g. awards, events.
Skills you need
- Previous experience in a Personal Assistant, Executive Assistant, Team Assistant role
- The ability to handle information professionally and confidentially, with total discretion
- Strong attention to detail, with the ability to multitask and adapt in a fast-paced environment
- Excellent organisational and time management skills, to meet strict deadlines
- Computer literacy, including Apple Mac, Google Suite, Word, Excel, PowerPoint, KeyNote, Teams, etc
- The ability to thrive both independently and as part of a team
- Ability to work under pressure and pick up additional tasks quickly
- Top notch verbal and written communication skills
- Superb interpersonal skills, you’re friendly and helpful, active listening skills, patient
- Get the boring jobs done. Let’s be realistic here, it’s not all glam, in a team this size we all have to share the jobs we’d all rather not
Useful but not essential:
- Background and experience in financial services and/or healthcare
- Lived experience of dementia and/or other additional needs/caring responsibilities
- Project management skills
- Experience of working in a startup
- Quickbooks / bookkeeping
- Design skills (Adobe/Canva etc)
- Social Media (Linkedin/Instagram/TikTok)
