12 MONTH FIXED TERM CONTRACT

Grade / Level: Staff Weekly hours: 38 Hours Department: HR reporting to Head of OD and Talent

Location: HQ - Hybrid working

Purpose of Role

This role will work closely with allocated Executive and/or Leadership Team member providing extensive and comprehensive support. Key to this role is being proactive and staying one step ahead ensuring that life is made easier. Excellent attention to detail and accuracy is crucial as is being able to work outside normal office hours if business needs require. The role requires a high standard of written and spoken English as responsible for drafting written materials/documents.

Role Responsibilities:

  • Complex calendar management.
  • Organising International travel, including visas and exploring global traveller solutions.
  • Organising and preparing detailed itineraries for visiting stakeholders.
  • Detailed ICSA standard minutes.
  • Preparing/calculating monthly performance scorecards from various quantitative and qualitative sources.
  • Organising weekly, monthly, and quarterly meetings, agenda planning, meeting governance, minute taking, pre-reads, actions and following up on actions.
  • Devising and maintaining office systems, including data management and filing – hard copy and electronic.
  • Screening phone calls, enquiries, and requests on behalf of Executive/Senior Leader and handling them when appropriate.
  • Meeting and greeting visitors at all levels of seniority.
  • Carrying out background research and presenting findings where required.
  • Producing documents, briefing papers, reports, and presentations.
  • Organising and attending meetings and ensuring Executive/Senior Leaders are prepared for meetings.
  • Liaising with internal stakeholders, contractors, and other service providers.
  • Managing various weekly and monthly projects and collation of data from leaders.
  • Arrange, manage, and support various events and exhibitions including virtual events using Microsoft Teams and Microsoft Teams Live.
  • Liaise with, arrange meetings for, manage invoice plans and payment for all outside consultants engaged by CFO and GC.
  • Expenses management.
  • Be a proactive key member of the broader executive and personal assistant team ensuring that broader companywide initiatives are delivered as required

Role Requirements

Experience and Knowledge:

  • 3+ Years previous experience working within a similar role
  • A level English and mathematics (or equivalent).
  • Proven written communication skills
  • Professional qualifications suitable for role

Qualifications & Skills:

  • Exceptional written and communication skills.
  • Excellent word processing and IT skills, including knowledge of a range of software packages– knowledge of Microsoft Teams is essential.
  • Ability to work under pressure and to tight deadlines.
  • Prove Executive Assistant experience across a number of different sectors/organisations.
  • Good organisational and time management skills.
  • Ability to research, digest, analyse and present material clearly and concisely, including financial information.
  • Excellent interpersonal skills.
  • Ability to work on your own initiative while being honest and reliable.
  • Ability to demonstrate attention to detail.
  • Flexibility and adaptability to manage a range of different tasks and to work extra hours to meet deadlines.
  • Discretion and an understanding of confidentiality issues.
  • Acts quickly and is proactively responsive, thinking ahead of time.
