The Chairman of this exciting company whose five-year plan is to deliver a nationwide network for their fully sustainable, innovative energy product needs a proactive Executive Assistant to fully support him plus occasional support to his Directors as and when required. With a reputation for an excellent management style plus a fair-minded approach to his team as a whole he needs a like-minded EA who can partner with him, be across all departments and take the initiative in his absence.
Based from attractive offices in Victoria the role requires someone who is extremely proactive and always uses their initiative, being one step ahead and anticipating needs is imperative. You'll be responsible for managing both his business and personal affairs, ensuring the smooth operation of daily activities, and facilitating efficient communication and coordination across all stakeholders. A high level of discretion, resilience, and commitment is required, as well as the flexibility to work outside of office hours occasionally.
Responsibilities:
• Manage a complex and changing diary (some personal), liaising with internal and external stakeholders to secure a realistic and efficient schedule.
• Ensure the diary is watertight, that all necessary information is shared in advance and that the Chairman/ Directors are fully informed and prepared for any last-minute changes.
• Responsible for all incoming emails and mail, triaging as required to facilitate actions and timely responses, in a compliant manner.
• Act as the first point of contact and representative where required.
• Maintain and actively strive to build strong and nurturing relationships internally and externally.
• Organise travel including airport transfers and accommodation arrangements.
• Provide a high level of writing support, including note-taking, minuting, drafting and editing.
• Arrange internal and external meetings including rooms or venue bookings, preparing agendas and arranging refreshments.
• Be the lead on selected projects and tasks, including event management and liaising with the relevant stakeholders.
• Proactively prepare and research briefing notes and reports ahead of meetings, including creating, editing and reviewing PowerPoint.
• Attend meetings as and when required facilitating and actioning outcomes.
• Collate Board and Shareholder packs monthly.
