Your new role
- Manage the Provost's diary to assess and prioritise demands on their time.
- Co-ordinate, arrange and support their meetings, acting as secretary when required.
- Plan schedules and organise travel and accommodation.
- Manage the Provost's inbox, responding, referring, commissioning and drafting as required.
- Liaise with colleagues across the Institute in relation to the Provost's internal and external projects and events.
- Undertake financial administration including raising purchase orders, processing invoices and expense claims.
- Work as part of the Directorate team, receiving visitors and helping make arrangements for them as required, and working with the team to ensure adequate office supplies and equipment.
- Work with key departments across the School e.g. Hospitality, IT, Estates, Campus Security and HR to ensure smooth and efficient service delivery of services within the Directorate.
What you'll need to succeed
- High level executive administrative experience, including diary management, managing senior executive email inboxes, minute taking, drafting reports and correspondence.
- Experience of communicating effectively, both verbally and in writing, at all levels and with tact and diplomacy.
- Experience of working with and supporting staff at a senior level in a complex organisation.
- Experience of working on your own initiative, within an overall structure; and a positive and proactive approach to problem-solving.
Skills and Abilities
- Proven organisational and work management skills, including the ability to work calmly and systematically under pressure and to prioritise competing deadlines and workloads.
- The ability to maintain accuracy and attention to detail, whilst providing a high level of service delivery.
- Demonstrable commitment to working as part of a team.
- Strong IT skills, including proficiency in Microsoft Office suite, particularly Outlook, Teams and SharePoint.
- Good level of numeracy, with the ability to analyse budgetary and other statistical data.
- The ability to maintain confidentiality/handle confidential information sensitively, where appropriate and comply with relevant legislation at all times.
