We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to our senior leadership team. The successful candidate will play a crucial role in ensuring the smooth functioning of daily operations, managing administrative tasks, and facilitating efficient communication.
Responsibilities
Diary Management:

  • Effectively manage the CPO and CLC calendars and scheduling appointments, meetings, and events
  • Prioritize and coordinate appointments, ensuring optimal use of time and alignment with business priorities.
Travel Management:
  • Arrange domestic and international travel, including flights, accommodations, visa's and transportation.
  • Prepare detailed itineraries and travel packs, ensuring a seamless travel experience.
Communication:
  • Act as a liaison between CPO. CLC and internal and external stakeholders
  • Handle incoming emails, calls, and correspondence with professionalism and confidentiality.
Document Preparation:
  • Draft proofread, and edit documents, presentations, and reports as needed.
  • Maintain a digital filing system for easy retrieval of documents.
Meeting Support:
  • Prepare agendas, collate relevant materials, and distribute documents for meetings.
  • Attend meetings, take minutes, and follow up on action items to ensure timely completion.
Task Prioritisation:
  • Identify and prioritize tasks, ensuring deadlines are met and projects are on track.
  • Anticipate needs and proactively address potential issues before they arise.
Confidentiality:
  • Handle sensitive information with the utmost discretion and confidentiality.
Experience
  • Proven experience as an Executive Assistant or similar role
  • Exceptional organisational and time management skills
  • Strong written and verbal communication
  • Proficient in MS office and other relevant software
  • Ability to multitask and adapt to changing priorities
  • Professional demeanour and the ability to interact with individuals at all levels
Requirements
  • Experience of proof-reading and editing documents
  • Skills in creating documents and organising internal meetings
  • Capable of managing complex diaries and travel arrangements
  • Experience of managing knowledge management
  • Adept at planning and organising own workload, prioritising when necessary, with minimal guidance
  • Able to work ethically with a high degree of confidentiality and integrity in line with company values
  • Able to maintain calm under pressure and meet deadlines
  • Able to deal with highly confidential work in a discreet and professional manner, using diplomacy and tact
  • Experience working at Senior Executive level
