We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to our senior leadership team. The successful candidate will play a crucial role in ensuring the smooth functioning of daily operations, managing administrative tasks, and facilitating efficient communication.
Responsibilities
Diary Management:
- Effectively manage the CPO and CLC calendars and scheduling appointments, meetings, and events
- Prioritize and coordinate appointments, ensuring optimal use of time and alignment with business priorities.
- Arrange domestic and international travel, including flights, accommodations, visa's and transportation.
- Prepare detailed itineraries and travel packs, ensuring a seamless travel experience.
- Act as a liaison between CPO. CLC and internal and external stakeholders
- Handle incoming emails, calls, and correspondence with professionalism and confidentiality.
- Draft proofread, and edit documents, presentations, and reports as needed.
- Maintain a digital filing system for easy retrieval of documents.
- Prepare agendas, collate relevant materials, and distribute documents for meetings.
- Attend meetings, take minutes, and follow up on action items to ensure timely completion.
- Identify and prioritize tasks, ensuring deadlines are met and projects are on track.
- Anticipate needs and proactively address potential issues before they arise.
- Handle sensitive information with the utmost discretion and confidentiality.
- Proven experience as an Executive Assistant or similar role
- Exceptional organisational and time management skills
- Strong written and verbal communication
- Proficient in MS office and other relevant software
- Ability to multitask and adapt to changing priorities
- Professional demeanour and the ability to interact with individuals at all levels
- Experience of proof-reading and editing documents
- Skills in creating documents and organising internal meetings
- Capable of managing complex diaries and travel arrangements
- Experience of managing knowledge management
- Adept at planning and organising own workload, prioritising when necessary, with minimal guidance
- Able to work ethically with a high degree of confidentiality and integrity in line with company values
- Able to maintain calm under pressure and meet deadlines
- Able to deal with highly confidential work in a discreet and professional manner, using diplomacy and tact
- Experience working at Senior Executive level
