ROLE: Receptionist/Administrator
TYPE: Full-time, Permanent
HOURS: 8.30am - 5.30pm
SALARY: £35,000 per annum + annual performance related bonus
LOCATION: Westminster, London
CULTURE: Professional, busy and friendly
RESPONSIBILITIES:
- Greeting and welcoming visitors
- Answer, screen and forward calls and take messages
- Manage post and international and domestic couriers
- Make drinks and organise internal lunches etc. for meetings and events
- Keep meeting rooms well stocked, clean and tidy
- Order and maintain kitchen and office stationery supplies
- Coordinate and manage travel, car and hotel bookings through the Company's travel agency, provide itineraries; make changes
- Administrative duties include arranging meetings and events; printing and binding documents, preparing presentations; organising translations; provide support with credit card and expenses reconciliation; preparation of compliance forms, updating contact lists and directories etc.
- Liaison with building support as required
- To be trained as a First Aider and Fire Warden
To be successful in this role you will have
- Previous receptionist and administrative experience
- Personable with excellent communication skills, both written and verbal
- Experience working with Microsoft Office 365, including Outlook email and calendar, Excel, Word and PowerPoint
- Experience using SharePoint and Adobe Acrobat preferred
- Highly organised and able to work under time pressures to firm deadlines
- High level of accuracy and attention to detail
- Flexible, can-do attitude - willing to support all team members
- Ability to build and develop excellent working relationships both internally and externally
- Tact and discretion in the handling of confidential information
