Job description

We are seeking a part-time Administrator temp on an ongoing basis.

Are you passionate about making a positive impact on the world? Do you have a great eye for detail with excellent Administration skills? If so, then we may have a fantastic opportunity for you to become a vital part of the team as a Foundation Administrator.

 

Our client is a family-founded charitable grant-making trust which gives away over £90 million a year to charities across the UK, is seeking a part-time Administrator.

This is an important and skilled support role at the heart of the management of the Foundation. The role requires significant experience of proactively managing the inflow of enquiries and correspondence, the schedules of senior executives, handling invitations, drafting presentations and communications materials and supporting the production of key documents.

In this role you will support the Foundation in all aspects of general foundation administration –

  • In particular managing the inflow of enquiries and correspondence and ensuring these are handled efficiently, effectively and by the most appropriate team member
  • Provide support to Director and Deputy Director for major grants, including arranging calls and following up on resulting actions, updating the database and other systems as appropriate.
  • To upload key documents and digital meeting packs for Board meetings.
  • To provide proactive administrative support for senior executives, including diary management and key correspondence.
  • To manage robust filing, archiving and document management support and create and maintain effective systems for doing so, with responsibility for housekeeping of Foundation’s filing on SharePoint.
  • To receive, issue, and process key communications internally, e.g. team meeting agendas.
  • To provide support for the management and co-ordination of events and manage suppliers for catering, venues and to monitor and provide reports on cost and value.
  • To administer travel and meeting arrangements on behalf of senior staff and trustees, for example for site visits or external meetings.
  • Respond to all Foundation invitations and manage diaries accordingly, including for the Trustees; liaising with their PA’s as needed.
  • To support the annual performance review process through which individual objectives are set for the Team, ensuring meetings are arranged on a timely basis.
  • Coordinate and deliver ad hoc project support as required, working alongside Head of Projects and senior executives.
  • Create presentations as required e.g. Board meetings, webinars, external event

 

 

 

 

The Person

You will have excellent Administration skills with a great eye for detail, along with first class communication skills and the ability to produce high quality work at all times. Advanced ability with Microsoft Office packages including Excel, Word, Access and Project.  Experience setting up and using digital tools such as DoodlePoll and Survey Monkey are also needed for this role.

 

 

Hours - Tuesday – Thursday.
