Our client is looking for a Personal Assistant to a key member of their Senior Management Team (SMT) on a contract basis until the end of June 2024 in Yeovil. They are looking for an organised and proactive individual to provide comprehensive support, ensuring the seamless operation of the executive's schedule and responsibilities.
About the Role:As a Personal Assistant, you will play a vital role in maintaining the efficiency and productivity of the Senior Management Team. Your responsibilities will encompass a diverse range of tasks, including diary management, procedural implementation, and various administrative duties.
Key Responsibilities:
Diary Management and Meeting Coordination:Proactively organise and plan meetings, both within and outside the college, to guarantee smooth execution.Collaborate closely with the Senior manager, providing necessary documents and ensuring preparedness for each meeting.Effective Communication and Relationship Building:Foster strong communication with the senior Manager, handling matters in their absence and during busy periods with initiative.Develop and maintain positive working relationships internally and externally, emphasising excellent customer service and timely information sharing.Committee Organisation and Administrative Support:Play a proactive role in organising committees associated with the Senior Manager, including agenda setting, action coordination, and minute-taking.Follow up on post-meeting actions, ensuring completion or monitoring by the Senior Manager.Administrative Duties:Execute a broad range of administrative tasks to a high standard, including correspondence management, letter writing, and report preparation.Handle invitations, coordination, and hospitality arrangements for visitors and staff attending meetings.Collaboration and Coordination:Liaise with other Personal Assistants to SMT to coordinate diaries and share priorities.Collaborate with various departments to collect and organise documents for management meetings and external events.Contract Management and Document Production:Monitor and maintain all college contracts under the Senior Manager guidance, working closely with the Procurement Officer and Finance Team.Assist in the production of major documents, ensuring timely updates and maintenance of necessary evidence.

The pay for this position is £20,493 per Annum on a part time basis (pay until end of June will equate to £8538)
