Job Title: Medical Secretary

Location: Parkway Centre, parkway centre, Havant, PO9 2BF

Trust Location: Southern Health NHS Foundation Trust

Southern Health NHS Foundation Trust provide community health, specialist mental health and learning disability services for people across the south of England.

They cover Hampshire and one community service on the Isle of Wight.

What you'll be responsible for:

  • Providing timely and accurate secretarial support to the Consultant Psychiatrists and for dictation, audio or copy typing, ensuring the confidentiality of patient records is maintained according to Data Protection and Caldicott Guardianship guidelines. Including forms, rotas, assessments, GP letters, discharge summaries and reports.
  • Receive requests for appointments from various sources and to deal efficiently with these requests. To be prepared to act independently and unsupervised in assessing the priority of information for Consultant action.
  • Develop and maintain Consultants' diaries working closely with them to ensure a smooth and effective service.
  • Ensure that all appointments are booked, and all administrative tasks are carried out prior to the consultation date, including appointment letters, updating diaries, and making arrangements with any outside support agencies e.g., interpreters.
  • Acting as first point of contact for all messages for Consultants and in a professional and polite manner. Assessing urgency of each message and using your initiative as to whether to seek guidance from Consultant or other professional.

You'll learn the following whilst working at the trust:

  1. An in depth understanding of the roles and responsibilities involved in working within the NHS
  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You'll have the following skills/experience:

  • Excellent communication skills- both verbal and written
  • Microsoft office skills- Outlook, Word, and Excel
  • Ability to meet deadlines and work under pressure
  • Previous secretarial experience
  • Previous NHS experience
  • NHS System Knowledge- RIO (desirable)

This role may require you to show evidence of vocational level 3 qualification or at least 2 years reception experience.
