Manage day-to-day office operations, including answering phones, responding to emails, and handling mail. Maintain accurate records and documentation, including resident files, staff schedules, and financial records. Coordinate appointments, meetings, and events for staff and residents, ensuring efficient use of time and resources. Serve as a point of contact for staff, residents, and external stakeholders, relaying messages and information as needed. Input data into relevant systems or databases accurately and efficiently, ensuring information is up-to-date and accessible. Tracking expenses and managing petty cash. Provide administrative support to other departments, such as human resources, facilities management, or marketing, as required. Ensure compliance with relevant regulations, policies, and procedures, including data protection and health and safety regulations. Handle inquiries and resolve issues effectively, escalating more complex matters to appropriate personnel as necessary. Collaborate with colleagues to achieve organisational goals and contribute to a positive working environment. Experience:
- Administrative background, preferably in a similar sector.
- Office management experience, including handling schedules and documentation.
- Customer service experience, with a focus on communication and teamwork skills.
- Excellent communication skills, both verbal and written.
- Strong organisational abilities, attention to detail, and time management.
- Proficiency in Microsoft Office and basic IT skills.
- Problem-solving skills and adaptability to changing priorities.
Qualifications:
- University degree, diploma or equivalent.
- Additional administrative training or certification is beneficial.
- Basic IT skills and familiarity with office software are required.
