Office and Finance Administrator

Green Planning Studio is a planning-led, multi-disciplinary consultancy based at Upton Magna near Shrewsbury, working on rural cases across England and Wales.
Green Planning Studio has grown steadily as a planning-led consultancy specialising in gaining planning permission in areas of development constraint such as the countryside, Green Belt and Areas of Outstanding Natural Beauty supported by in-house expertise in planning, architecture, surveying, historic environment, flood risk assessment, contaminated land and landscape design.
Who are we looking for?
We are currently looking to recruit an Office and Finance Administrator.
The successful candidate will assist the Finance Manager with the smooth and efficient running of the office as part of the Administration Team.
What will you be doing?
Office Administration
- Creating Client case files on receipt of funds and maintaining the client database; updating the Applications database for new clients
- Assisting with answering the phone and taking messages
- Taking payment of invoices over the phone
- Ordering items needed for the office, such as stationery, office furniture, IT equipment, subsistence. Maintaining storage of these items
- Arranging for maintenance on the photocopiers and other office equipment
- Assisting the directors and staff finding information on previous and current cases when needed
- Distributing post received to relevant teams and maintaining records of post in/post out; posting special delivery items at the post office (and other postal items as required), and tracking their successful delivery
- Assist the general running and administration of the Company by carrying out administrative and support tasks as requested by the directors and associate directors
- Providing cover for the Directors’ PA during annual their leave by arranging site visits including car hire and hotels.
Financial Administration
- Processing costs awards & liaising with clients during the costs process
- Raising sales invoices, credit notes, requests for funds and proformas from information provided by the Applications and Appeals teams
- Maintaining the Invoice Numbers spreadsheet and sending invoices to clients
- Chasing unpaid debt
- Maintaining the Income monitoring spreadsheet for monthly sales information and maintaining the record of future income in the appeals team
- Sending out client contracts via Docusign
What do you need?
- A levels grade C or above, or an equivalent vocational qualification, or extensive relevant experience
- Experience of MS Office, especially Excel
- Previous experience of working in an office environment
- Meticulous approach to dealing with data, particularly figures
- Good telephone manner and communication skills
