Your Mission: As the Operations Assistant, you'll be working closely with the management team to keep operations shipshape, so your ability to multitask and maintain composure under pressure will be your superpower.
Key Responsibilities:
- Assist with the compilation of project reports to include formatting, proof reading, etc in accordance with the Company house style.
- Work with the Operations & QHSE Assistant to ensure the Inbox is monitored and managed effectively.
- Take minutes of Operations meetings as required, ensuring actions are followed up and reported back.
- Provide general administrative support across the business including diary management, arranging/booking meetings, note taking, etc.
- Lead the arrangement of travel and accommodation for staff, Associates and Client Reps.
- Maintain, manage, and update databases used for projects.
- Ensure that documentation is up to date, including contracts, T&Cs, Schedules, NDAs, passports, CVs, Emergency Contact Information
- Updating offshore training and safety certificates, ensuring they are valid and up to date
- Attend Client Rep project briefings with the relevant Project Manager
- Liaise with/assist the Project Finance Assistant and Operations & QHSE Assistant to ensure the timely receipt and submission of Associates' and Client Reps' timesheets, expenses and invoices.
Your Skills and Experience:
- Proven multitasking abilities in a dynamic environment.
- Administrative wizardry with excellent organisational skills.
- Strong communication skills and an eye for detail.
- Previous experience in project administration or a related field is a plus.
- Adept at managing databases and documentation with precision.
