Reed are working with a friendly and successful organisation based in Diss, recruiting for the permanent position of Operations Support Administrator to join the team on a full time basis, working Monday to Friday 8:30am-5pm.
This is an excellent opportunity for an enthusiastic individual with strong administration experience, to work alongside a great team of people in a busy and varied role, supporting the organisation and coordinating administrative tasks for the Operations and Sales teams- training will be provided.
Responsibilities
• Raising and logging enquiries- first point of contact for office telephone calls
• Preparing quotations
• Processing paperwork, documentation and operational timesheets
• Process travel expenses
• Collaborating and communicating with teams in the wider business
• Maintaining stock levels
• Updating company records with relevant information and QHSE data
• Formatting and proofreading documents for proposals, reports and tenders
• Arranging travel and accommodation for personnel
• Arranging couriers
• Raising purchase orders
• Arranging third party repairs and testing and client’s premises/location
• Record and process maintenance issues and equipment usage
• Support key projects and tenders as directed by leadership team
• Supporting with weekly and monthly reporting for various teams
• Contribute to continuous improvement
• Monthly updating and closing of files
• Audit administration of recruitment, training paperwork as required
• Support in set up of new client records
• Logging marketing visits
• Reporting for management
• Other responsibilities as required
Requirements
• Minimum of 2-4 years existing office administration/coordination experience
• Professional and helpful telephone manner with high standards of service
• Enthusiasm and willingness to learn
• High level of attention to detail and accuracy
• Strong communication skills- written and verbal
• Good standard of literacy and numeracy skills
• Flexible and adaptable
• Strong organisation and planning skills, able to prioritise and remain calm under pressure
• Good use of initiative
• IT skills including Microsoft office
Package
• Salary of £24,000 - £26,000 (negotiable dependant on experience)
