Key Duties & Responsibilities:
- Typing documents, reports, and emails from handwritten manuscripts
- Full diary management.
- Mailbox management of Planning Director(s) mailboxes, as well as your own.
- Ensuring prompt actions and responses to all mail.
- Maintaining a real-time project list and prompting the Directors, and staff accordingly to ensure the timely progression, and prioritisation of planning projects being progressed by the Directors.
- Assembling soft and hard copies of complex files. Preparing files in advance of meetings.
- Managing incoming calls and messages.
- Formatting and proof-reading documents.
- Planning for, and providing holiday cover within the wider administrative team.
- Assist with project administration.
- Building client relationships and providing regular client updates on projects as they are progressed.
- Setting up and maintaining hard copy and electronic files, saving project documents accordingly in a timely manner.
- Liaison with 3rd parties, obtaining quotations, chasing meetings, and monitoring lead-times etc.
- Previous experience in a Senior PA role.
- Strong organisational skills.
- Team player ability, with the competency to work on own initiative.
- A professional, positive, can-do attitude.
- The ability to manage conflicting demands, prioritising workload
- Excellent keyboard skills and strong IT skills - Word, Excel, Outlook as a minimum.
- Experience in diary management, a busy diary.
- Experience on One Drive desirable, (training can be provided).
- Secretarial skills - a minimum typing speed to 60 wpm ideally.
- Experience in copy typing & dictation.
- Excellent presentation skills and an eye for detail.
- Excellent oral and written communication skills.
- Tact, discretion, and respect for confidentiality.
- A pleasant, confident telephone manner.
