Sony Pictures Television International (SPTI) backs Multi Screen Media Private Limited, which is among the region’s leading television channel operators. It comprises of Sony Entertainment Television (SET), one of India's leading Hindi general entertainment television channels; MAX, India's premium movies and special events channel; SAB, a Hindi channel focusing on entertaining modern India; PIX, a channel that airs Hollywood movie product.
Based in Paddington and part of the International Business Operations department which currently comprises 45 people, the purpose of this role is to provide comprehensive PA and administrative support primarily to the Executive Vice President – Head of International Business and also to assist the Senior Vice President - Business Head for Europe. This position is expected to pre-empt role requirements and take own initiative to work efficiently with and for the manager/s.
What you'll do:
- Proactively handle and assist the EVP in day to day business activity and coordination with business heads / functional heads across all regions.
- Assist and help in all business development projects the EVP/VP may take upon
- Role demands very mature and responsible conduct as the position, on occasion, will take care of extremely sensitive and confidential information.
Administration/General Responsibilities
- Long and short term planning and schedule management.
- Receiving and making telephone calls on behalf of the EVP – Head of International Business and the Head of UK and Europe, requiring ability to liaise optimally with managers at all levels and all Heads of the international team.
- Booking meetings rooms within the office and preparing guest passes accordingly.
- Screening and responding to emails on EVP – Head of International Business and Head of UK and Europe.
- Drafting correspondence, e-mails and presentations as the need arises.
- Arranging meetings, inside and outside of the Organisation, preparing and circulating agendas and supporting documentation prior to meetings, attend and minute when required.
- As Department Travel Booker, required to plan and arrange travel for the EVP – Head of International Business and Head of UK and Europe and the wider team with an emphasis on cost management and timely effective methods of travel. Keeping Visas and passports updated.
- Prepare and process expenses claims on behalf of the EVP – Head International Business and Head of UK and Europe.
- Plan Events and conferences.
- Filing of all contracts and agreements.
- Work closely with the legal team and accounts team, sharing contracts and keeping SAP and VIM systems up to date.
- Support Marketing and Broadcast team.
- To complete weekly and monthly EPG data for APAC region.
- Adheres to Corporate Policies and Procedures, including Code of Conduct, Audit Procedures and any control related responsibility for financial data entered, stored, or reported via business.
- To undertake ad hoc duties as required.
What you have:
- Typically 3 to 5 years work experience in a similar role will be an advantage
- Proficient in the use of Microsoft Office, including, Outlook, Teams, Excel, Word.
- Aptitude for administrative processes and procedures.
- Reliable, conscientious, discrete and adaptable to different changeable situations.
- Experience of working within a busy office environment.
- Ability to craft and format presentations using Microsoft PowerPoint.
- Willingness and ability to learn in-house systems for invoice management, Purchase Orders, and contracts. Including SAP and CLM.
- Excellent organisational skills to plan and prioritise workload to meet tight deadlines.
- Decision making and problem solving skills and attitude.
- Good command of the English language, both written and verbal.
- Ability to work effectively on own initiative and forward plan events and projects.
- Flexibility to adapt changing circumstances and being prepared and able to work outside of normal office hours due to busy workloads
- Enthusiastic and self-motivated providing a positive contribution to the team
- Composed and able to remain calm under pressure.
