An exciting opportunity has arisen for an efficient Office Administrator/Executive Assistant to work closely with the Managing Director of a well-established family office. Working 30 hours per week Monday to Friday 9am - 3pm or 10am - 4pm.
This role involves a blend of administrative work and property management, ensuring the smooth operation of the Managing Director’s business and personal affairs.
Day to Day of the role:
- Manage secretarial and administrative tasks to optimise the Managing Director’s time.
- Act as a key point of contact between the Managing Director, Creative Director, Project Manager, and clients/tenants.
- Screen and direct incoming telephone calls.
- Filter incoming emails, responding to correspondence and queries on behalf of the Managing Director.
- Manage the diary, booking and confirming meetings and appointments.
- Arrange travel as required.
- Liaise with managing agents for tenant enquiries and maintenance reports.
- Coordinate with contractors for repairs and routine maintenance.
- Manage tenancy agreements, renewals, and tenant deposits.
- Ensure portfolio compliance with UK legislation through inspections.
- Arrange check-in and check-out inventories as required.
- Maintain communication with tenants throughout the tenancy.
Required Skills & Qualifications:
- Experience in a similar role.
- Proficiency in Microsoft Office, particularly Word and Outlook. Knowledge of Xero is a bonus (training provided).
- Understanding of office filing systems, both electronic and paper-based.
- Proven ability to prioritise workload with multiple projects.
- Ability to work proactively, independently, and without direct supervision.
- Strong team player and natural problem solver.
- Strong work ethic with a need for discretion.
- Flexibility in work approach.
- Must have access to a vehicle and hold a UK driving license.
