Job Title: People Team Administrator

Reporting to: Head of People

Location: White City Place, London

Hours: Full Time, 37.5 per week

Workplace Type: Hybrid

​About the Role:

The People Team Administrator will play a crucial role in assisting a dynamic yet compact People team, which comprises the People Director, Head of People, Senior People Advisor, and the Talent Acquisition Specialist. In this position, the individual will offer essential 1st line HR admin support across a diverse spectrum of HR activities, ensuring the promotion and delivery of a consistently fair and professional employee experience.

 

Responsibilities:

  • Own and manage the employee lifecycle from arranging offer letters and references, acquiring new starter information, creating contracts, updating People HR according to changes, contractual change updates, inductions, exit interviews and leavers.
  • Support in writing, delivering, and maintaining the HO and Retail handbooks, policies, and procedures by partnering with key stakeholders.
  • Update the employee directory, organisational chart and contact list. People HR – gather people data and insights via reports, identifying patterns, gaps, successes and presenting to the Head of People and People Director to form solutions.
  • Check right to work, probation and appraisal due dates, birthday reminders, length of service, annual leave allowance and arrange celebrations/inform the relevant people accordingly.
  • Update both the HO and Retail payroll spreadsheets with employee changes to pay, benefits, absence, annual leave, leavers etc.
  • Support the US Payroll and provide timely updates to the US PEO who supports the US employees.
  • Support the Maternity/Paternity/Adoption Leave and return to work meetings.
  • Leading by example, being ambassador for the Company values and culture.
  • Maintaining confidentiality, integrity, and professionalism, building, and maintaining trust from colleagues and stakeholders.
  • Constant review of People templates, systems, and platforms, presenting alternative options that better align with business strategy.
  • Contributing to various People Projects. ​

 

About you:

  • Previous experience in an administrative role, preferably in an HR department.
  • Strong attention to detail and accuracy in data entry.
  • Excellent communication skills, both written and verbal.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).. ​
