Job description

About Vestd

The Vestd platform exists to make share schemes a breeze and to help people manage their equity more easily. We are driven by a mission to see a fairer world of work in which people are rewarded properly for their graft.

Given our equity expertise, we also help businesses prepare for investment, and we help investors manage all of their holdings in one place.

Job Summary

Our CEO is seeking a highly organised and proactive Personal Assistant

As PA, you will be a key member of the Vestd team, optimising the CEO’s time; supporting him with covering both work and personal activities to achieve this.

While Vestd is a fully remote business, this role will involve in-person meetings with the CEO on a regular, and often ad-hoc, basis, (the frequency to be determined by operational needs), hence the requirement for the candidate to be based in the Richmond/Twickenham area.

You will collaborate with all other parts of the organisation where appropriate in line with the above objective.

In collaboration with the CEO, you will develop processes and systems to allow you to take more responsibility and autonomy in covering the agreed bases.

You will be experienced in working at this level within a fast-paced, remote environment. A natural problem-solver with experience in managing up and confidence to share process improvement suggestions. Multi-tasking and proactivity are essential to this role, as well as the ability to prioritise competing demands.

Responsibilities

  1. Provide high-level administrative support to the CEO and wider team when required.
  2. Ultimately own and manage his diary
  3. Manage all internal and external comms, including email and Slack email ‘Inbox’ management, prioritising, and flagging email correspondence for review.
  4. Prepare meeting documentation, including briefing notes, presentations and agendas, along with other admin support.
  5. Conduct research on various topics as assigned.
  6. Make travel bookings and visa applications for the CEO and broader team (where required), including travel itineraries and appropriate ticketing.
  7. Prepare and submit the CEO’s expense reports.
  8. Support with ad-hoc administrative duties for the wider team where appropriate.

What you will bring

  • At least five years of recent experience.
  • Impeccable attention to detail and a high degree of accuracy.
  • Discretion and trustworthiness: the ability to handle sensitive information confidentially.
  • Strong command of both written and verbal English.
  • Ability to prioritise and multitask efficiently, demonstrating initiative and flexibility when faced with evolving priorities.
  • Good working knowledge of word processing, spreadsheets, and presentations (particularly MS Office and Google Suite). Familiarity with tools such as Slack and HubSpot would be advantageous. Ability and eagerness to pick up new technologies quickly.
  • Exceptional interpersonal skills with a track record in delivering high-quality stakeholder management at all levels.
  • Embracing new ideas, challenges and change with positivity and a hands-on approach.
  • Ability to work proactively without oversight, demonstrating an entrepreneurial and problem-solving mindset.

Bonus points

  • B2B SaaS experience
  • Experience working in a remote team
  • An understanding of how equity works
  • A passion for startup life
  • Entrepreneurial experience

Competency Summary

  • Getting things done - Autonomously and proactively completing allocated tasks despite competing demands, only seeking help when appropriate.
  • Planning & organising - Managing time around deadlines and being flexible in the face of changing priorities.
  • Overcoming challenges - able to suggest practical solutions compatible with Vestd’s values.
  • Collaboration - openly communicating with and offering to help colleagues.
  • Customer & stakeholder focus - actively building new and growing existing relevant relationships.

What you can expect

As the UK’s first and most advanced equity management platform, Vestd is an innovative company, always looking for ways to break new ground.

Our culture is our backbone (we were named in the ‘Top 3 Companies in the Country for Company Culture’ by BreatheHR) and we take team happiness seriously.

Vestd strives to be as principled as possible. We’re all about Goal 8 of the United Nations ‘Sustainable Development Goals’. This goal is about ‘Decent Work and Economic Growth’ and we consider that both in relation to our external activities and in relation to our internal workings.

We expect every team member to consider how they can be part of our push to see a world in which 1bn people are enrolled on a share scheme.

We’ll do everything we can to help you grow in your role, and in return, you’ll want to learn all about our industry so that you can help us to continue leading it.

Vestd is 100% remote, so you’ll have a lot of freedom during your working day. Some roles demand office hours (to fit our customers’ schedules), but we are committed to being flexible where possible.

Happy employees make for happy customers and that’s demonstrated in our five star reviews. Vestd’s excellence has also been recognised by The Europas, The Fintech Awards London, The Hustle Awards, TechRound, and BusinessCloud’s Fintech50.

So, if you’re an autonomous and self-driven individual who likes the idea of being part of a mission and you like the idea of joining a close-knit team, we’ll be a great fit.
