Project Administrator - Property Services Team
Permanent, Full time, 40 hours a week
Office based in Edmonton
Maintenance and construction contractor
Salary - £26,000 - £30,000 PA Depending on experience
Previous experience within Social Housing required
Overview of the position:
To support the Property Services Division & HOBs in managing project data and coordinating site operations. This will involve close liaison and engagement with Senior Management to support the operations on site by coordinating project schedules, resources and equipment as a hardware Superuser. The role may also demand the support and training of business resources and close liaison with clients to identify and define project requirements, scope and objectives all while ensuring the clients needs are met as the project progresses.
Key Responsibilities:
* Develop and coordinate project management activities, resources, equipment and information
* Assist in breaking-down projects into identifiable actions and set time frames
* Regular liaison with clients to identify and define requirements, scope and objectives
* Where necessary assign tasks to internal teams and assist with the schedule management
* Where necessary assist in budget management through resources and equipment on site
* Monitor project progress along with the operations team and assist in rectifying any issues that arise
* Act as a point of contact for operations staff and communicate project status to all were necessary
* Create and maintain comprehensive project documentation, plans and reports
* Uploading project documents to internal and external systems
* Assist in organising labour and trades for site where required
* Production of O&Ms for projects
* Minute taking where necessary and required
* Support with uploading photos, trade certs and various other ISO forms for Arc Group on Arc Projects and other client portals
* Registering new boiler installs with Gas Safe and upload and communicate to the client where required
* Part P all electrical install certificates with the NICEIC
* Scheduling resident/client appointments and surveys via telephone for general works and remedial works
* Sending out letters to tenants/residents to notify of work access required reporting any issues to the client
* General updating of spreadsheets and systems
* Booking project meetings
* Updating trackers/programmes
* Assist with the collation of site documentation
* Setting up new jobs on ARC Projects and allowing access for operatives
* General administrative support to the operational team
Requirements:
* Some experience of project coordination in construction industry
* Able to work closely assisting senior staff or on own initiative.
* Experience of managing and prioritising own workload
* Microsoft Project package experience
* The post holder must hold a full clean driving license
* The post holder must possess a minimum of grade C in Mathematics and English or equivalent qualification
