Job Overview:
We are seeking a friendly and organized Receptionist to join our team on temp to perm basis. Working part time 20h per week. The ideal candidate will be the first point of contact for visitors and callers, providing a positive and professional impression of our organization. The Receptionist will handle a variety of administrative tasks and ensure the smooth operation of the front desk.
Working hours: 08:00-12:00 Mon-Fri ( you will be working with another part time receptionist therfore the hours can be adjusted or swaped.
Key Responsibilities:Front Desk Operations:
- Greet and assist visitors with a warm and welcoming demeanor.
- Answer, screen, and forward incoming phone calls in a professional manner.
- Maintain a tidy and organized reception area.
- Effectively communicate with employees, clients, and external contacts.
- Distribute information to the relevant departments promptly.
- Assist with various administrative tasks, such as data entry, filing, and managing office supplies.
- Schedule appointments and maintain calendars for conference rooms and executives.
- Coordinate and announce visitor arrivals to the appropriate personnel.
- Ensure visitors follow security protocols and sign in/out as required.
- Receive and distribute incoming mail and packages.
- Prepare outgoing mail and coordinate courier services.
- Utilize office equipment, including phones, copiers, and printers.
- Maintain proficiency in relevant software applications.
- Address and resolve inquiries or redirect them to the appropriate department.
- Handle minor administrative issues and escalate when necessary.
Qualifications:
- High school diploma or equivalent.
- Proven experience as a receptionist or in a similar role
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office and basic office equipment.
- Excellent organizational and multitasking abilities.
- Customer service-oriented with a positive attitude.
