We are delighted to be working on behalf of a dynamic construction company based in Clacton-On-Sea looking for a Scheduling Assistant to join their team with the purpose of contributing to the efficient management of maintenance projects. This role would suit a motivated individual with a passion for organization and customer service, looking to join a friendly team!
Responsibilities:
- Utilize maintenance software to efficiently schedule maintenance jobs for engineers based on priority, location, and availability.
- Coordinate with engineers to ensure timely completion of scheduled jobs and address any scheduling conflicts.
- Create purchase orders for subcontractors and supplier as needed for upcoming projects.
- Liaise with subcontractors and suppliers to ensure timely delivery of materials and services.
- Track and manage purchase orders to ensure accuracy and completeness.
- Accurately enter data for purchase orders, invoices, and other administrative documents into the company’s database or software systems.
- Assist the office manager with various administrative tasks such as drafting correspondence, organising meetings, and managing office supplies.
- Provide general administrative support to ensure smooth operations within the office.
- Serve as a point of contact for customers regarding their maintenance jobs, addressing enquiries, and providing updates on job status.
- Coordinate with customers to schedule appointments and ensure their satisfaction with our services.
Previous experience:
- Previous experience in a scheduling or administrative support role
- Experience within the construction or maintenance industry is desirable
- Strong organisational skills
- Excellent communication skills
- Attention to detail
- Proficiency in basic computer skills including Word, Excel & Outlook
