Site Administrator/Tenant Liaison Officer:
The post holder will be responsible for Site Administration and Tenant Liaison for a Ventro site where we are conducting various Fire Compliance works. This is a residential site owned by a Ventro client providing a housing management service.
The ideal candidate will be able to deal with a broad range of tasks and duties whilst being
committed to providing the best possible customer service.
This role is on a sub-contractor basis, applicants will need to have their own UTR numbers and place invoices with Ventro for payment. The role is offered on a hourly-rate basis.
This is a temporary role offered at 20hrs per week.
Location: Plymouth or Caerphilly - Hybrid home working arrangement with support in either of these areas. Must be in commuting distance to either Plymouth or Caerphilly.
Duties:
- Tenant liaison
Ensuring tenants are consulted and supported before, during and after
works are completed in their building or residence
Ensuring high levels of satisfaction and communication
Ensuring they have the knowledge of and correct details to contact Ventro
staff
Managing any complaints in line with procedure
- Scheduling works with sub-contractors and residents
- Administration tasks
Full use of Microsoft programmes
Data entry
Data transfer between programmes
Document filing
HILTI app uploads and checks
Collaboration of site progress data
Admin and planning of FRA repairs
Logging of tasks in FRA online portal
- Accepting site deliveries
- Ordering materials with our in-house procurement team
- Keeping track of material stock levels to ensure site progress
- Co-ordination of subcontractors on site -
Complete daily site register and checks
Allocation of operatives
- Ensure all staff are wearing correct PPE
Completing uniform requests with our procurement team
- Supporting the Project manager and Site Manager
Observing site Health & Safety procedures and ensuring any risks are reported immediately to the Site Manager
Manage and report on completion of tasks
Skills and Experience:
- Proactive approach
- Excellent planning and organisation skills
- Excellent oral and written communication skills
- Tenant Liaison/Site experience
- Strong admin experience
- Ability to work independently, manage own workload and multitask
- Access to a smartphone for Hilti uploads
- Ability to learn new software
- IT literate, good knowledge of excel is essential
- Happy to travel between sites
- Full clean driving license
- CSCS Card (preferred, not essential)
- DBS Check
