Role Responsibilities

  • Support DCM during core London hours, assisting in daily BAU tasks as well as wider projects as requested
  • Take responsibility for additional administrative responsibilities under guidance/request of DCM Business Support and DCM team to support maximum desk productivity with good attention to detail and appropriate record keeping
  • Prioritise and act proactively to take ownership and manage tasks/projects from start to finish using strong organisational skills, with the ability to multitask while remaining calm and professional
  • Use excellent interpersonal and communication skills (both written and verbal) to deal confidently with global teams and senior management, both internally and externally

Business:

  • Organising travel itineraries including booking flights, car pickups, accommodation, and prepare/submit visa requests, restaurants reservations etc.
  • Processing of expenses; ensuring the Gifts & Entertainment register is updated within the parameters of the policy
  • Raise and manage IT, Telecom and Market Data requests via SRM and Infomatch; tracking, following up and progressing accordingly until completion. Updating all stakeholders throughout the process
  • Book meeting rooms, refreshments, video conferencing, calls and ensuring visitor registrations.
  • Distribution of post / arranging the booking of DHL & local couriers;
  • Onboard new joiners / Offboard leavers and movers by raising system accesses and software through SRM system
  • Organise () ̆printing where necessary
  • Onboard new vendors for invoicing and raise purchase orders where required, tracking, following up and progressing accordingly until completion. Updating all stakeholders throughout the process
  • Notify stakeholders of international visitors and complete visitor forms
  • Client events and entertainment and helping organise client roadshows if required
