Key Responsibilities:
Diary and Travel Support:
- Efficiently manage and coordinate diaries for a team from exec to analyst, ensuring all appointments and meetings are scheduled and confirmed.
- Arrange travel itineraries, including flights, accommodations, and transport, ensuring all logistics are seamlessly handled.
Assistance to Office Manager:
- Provide comprehensive support to the Office Manager in daily operations, including office supplies management, facility coordination, and vendor liaison.
- Assist with the planning and execution of office events and meetings.
Front of House Desk Cover:
- Serve as the welcoming face of the firm, greeting clients and visitors with a professional and friendly demeanour, covering for the Receptionist in busy periods and holidays.
- Manage incoming calls, correspondence, and deliveries, ensuring prompt and efficient handling.
Support and Cover to Executive Assistants (EAs):
- Offer reliable backup support to a team of Executive Assistants, handling various administrative tasks as needed.
- Assist with document preparation, expense reporting, and ad-hoc projects to ensure smooth operations.
Qualifications:
- Proven experience in an administrative or assistant role, preferably within the financial services sector.
- Exceptional organisational skills with the ability to multitask and prioritise effectively.
- Strong communication and interpersonal skills, with a professional and polished demeanour.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
