Could you provide administrative support at the highest level to our Global Surge Team?
We are recruiting for a Team Assistant who will provide a high level of administrative and office support to the Global Surge Team, including undertaking routine business with confidentiality and discretion, ensuring that administration is up to date and supporting the smooth running of the team.
- Undertaking core administrative tasks on behalf of the team, including (where applicable) facilitating travel and the scheduling, coordination and arrangement of meetings and/or events, briefings, inductions and debriefings.
- Taking responsibility for ensuring that the team database is accurate, current and consistent while acting as a focal point on internal and external information management, including preparing information packs and newsletters, intranet updates, Global Surge Team web page, briefings, as well as ad hoc, quarterly and annual reports.
- Ensuring that Global Surge specific processes and workflows are available to different teams, from International HR to the Regional teams, with the aim of ensuring successful utilization of Global Surge resources.
- Excellent administration and organisational skills, including attention to detail and maintaining up-to-date and accurate records and a proven ability to prioritise and manage work effectively in a fast-paced environment, to deliver on time and in full against specific objectives
- Experience of drafting correspondence, compiling and summarising materials for a variety of audiences along with experience and a competency in financial administration including using spreadsheets and, as applicable, budget preparation and management
- Excellent IT skills, including proficiency with all basic Microsoft Office packages and information management systems along with familiarity with design software including photoshop and InDesign
- An understanding of the Red Cross and Red Crescent movement and of the international humanitarian systems would be advantageous but is not essential.
