Job Opportunity: Admin Officer
Location: Belfast, Airport Road
Pay: £11.99 per hour (Paid Weekly)
Hours: 37 hours per week, 9 – 5, Monday to Friday, Hybrid Working available
Start Date: ASAP
Duration: Initially expected to be up to 6 months with an option to extend
Key Responsibilities:
- Daily Administration Oversight:
- Oversee daily administration tasks within the team.
- Report directly to the EOII and/or EO1.
- Ensure compliance with standards and deadlines.
- Take proactive measures to address any slippage in meeting standards.
- Data Management:
- Create and maintain Microsoft Excel spreadsheets.
- Manipulate and present data effectively.
- Import Licensing and Information:
- Draft General Licences, Import Licences, and supporting documentation.
- Deal with queries from internal and external customers.
- Address issues related to disease outbreaks in import processes.
- Pet Passports and Ukrainian Pets Project:
- Process applications for Pet Passports and import licenses.
- Monitor responsibilities in the Ukrainian Pets Project.
- Coordinate query responses efficiently.
- Finance/Corporate Tasks:
- Raise invoices on Account NI for Third Country Charges and other ad-hoc charges.
- Veterinary Trade Imports:
- Monitor Trade Imports inbox daily.
- Maintain correspondence register.
- Ensure timely response to queries.
- Communications:
- Provide phone line cover for trade imports.
- Record and forward queries to the appropriate team member.
- Address portal complaints and liaise for timely responses.
- Content Management and Administrative Support:
- Maintain team file plan and save documentation in CM.
- Provide administrative support to various ongoing projects.
- Organize meetings, take minutes, and monitor follow-up actions.
Essential Criteria:
- 5 GCSEs, including Maths & English, graded A to C or the level 2 equivalent.
